Join a Premier Facial Plastic Surgery Practice We are seeking an exceptional, polished, and highly experienced Office Manager & Patient Care Coordinator to join the practice of Dr. David Chou, MD, a fellowship-trained Facial Plastic and Reconstructive Surgeon specializing in rhinoplasty, facial rejuvenation, and advanced facial aesthetic procedures. This is an opportunity to become an integral part of a boutique, high-end facial plastic surgery practice dedicated to delivering outstanding surgical outcomes and an unparalleled patient experience. The ideal candidate possesses a luxury hospitality mindset, exceptional emotional intelligence, strong aesthetic sales abilities, and a passion for helping patients navigate their transformative surgical journey. We are looking for someone who naturally creates trust, builds meaningful relationships, and ensures every patient feels valued, understood, and cared for from their initial consultation through their final result. Position Overview The Office Manager & Patient Care Coordinator serves as the face of the practice and the primary point of contact for prospective and existing patients. This individual is responsible for overseeing daily operations, optimizing patient experience, driving consultation conversions, coordinating surgical cases, and ensuring operational excellence throughout the practice. Patient Experience & Care Coordination Deliver a white-glove, concierge-level patient experience Guide patients through consultations, treatment plans, surgical scheduling, and follow-up care Build trust and rapport with patients throughout their aesthetic journey Conduct patient follow-ups and maintain ongoing communication Ensure every patient interaction reflects the practice's luxury brand standards Surgical & Consultation Coordination Manage consultation scheduling and patient flow Coordinate surgical bookings and treatment timelines Educate patients regarding procedures, financing options, and pre/post-operative instructions Maintain accurate patient records and documentation Support consultation conversion and treatment acceptance goals Practice Operations Oversee day-to-day office operations Manage provider schedules and optimize appointment flow Monitor inventory and order supplies as needed Ensure clinic cleanliness, organization, and operational readiness Implement systems to improve efficiency and patient satisfaction Business Development & Marketing Support Support patient retention and referral initiatives Assist with social media coordination and patient engagement Conduct patient outreach and follow-up campaigns Promote practice offerings, events, and special promotions Contribute ideas to support practice growth and brand awareness Leadership & Team Support Foster a positive, collaborative workplace culture Participate in ongoing education and team meetings Assist in training and onboarding team members as needed Maintain professionalism and accountability in all aspects of the role QualificationsRequired 2 to 3 years of experience in plastic surgery, facial plastic surgery, cosmetic dermatology, aesthetics, or luxury medical practice management Proven patient consultation and sales experience Strong understanding of aesthetic procedures and patient journeys Exceptional verbal and written communication skills High level of professionalism and discretion Strong organizational and multitasking abilities Experience with EMR systems and patient scheduling software Preferred Facial plastic surgery experience Luxury hospitality, concierge medicine, or high-end client service background The Ideal Candidate Naturally warm, confident, and relationship-driven Highly polished and professional in appearance and communication Passionate about aesthetics and patient care Comfortable discussing treatment recommendations and financial investments Detail-oriented and solutions-focused Able to anticipate needs before they arise Committed to delivering an exceptional patient experience at every touchpoint
