Job Description
Description We are looking for a Clinic Coordinator to support a neurosurgery practice in California. This Clinic Coordinator is ideal for someone who combines strong front-desk coordination skills with a calm, patient-centered approach in a clinical setting. The role will help keep daily operations organized while ensuring patients, providers, and external partners receive timely and attentive support.
Key Responsibilities:
- Coordinate patient visits by arranging appointments, follow-up care, and procedure scheduling while maintaining an efficient daily flow.
- Serve as a central communication point for patients, the neurosurgeon, and outside medical offices to ensure information is relayed accurately and promptly.
- Maintain organized and confidential documentation within electronic records systems, ensuring information is current and properly handled.
- Review insurance details, assist with authorization needs, and respond to billing-related questions with care and accuracy.
- Oversee front office readiness by supporting supply tracking, preparing clinical spaces, and helping manage the provider's schedule.
- Answer and route calls through a multi-line phone system while providing courteous service to patients and referring offices.
- Perform data entry, file organization, and general administrative support to keep office processes running smoothly.
- Assist the clinical team with additional coordination and office tasks as needed to support daily operations.

- At least 2 years of experience in an administrative or medical office role, ideally within a specialty practice.
- Strong ability to prioritize competing tasks and stay organized in a fast-paced healthcare environment.
- Excellent communication and interpersonal skills with a service-oriented and compassionate approach.
- Working knowledge of electronic medical records systems and Microsoft Office applications, including Word, Excel, and Outlook.
- Familiarity with medical terminology, insurance verification, and authorization processes is preferred.
- Ability to manage sensitive information with discretion and maintain confidentiality at all times.
- Comfortable handling front desk responsibilities such as phone coverage, patient coordination, and general office support.
