The Financial Coordinator plays a critical role in supporting patients through the financial aspects of fertility treatment. This position is responsible for counseling patients on insurance coverage, estimated copays, deductibles, treatment costs, and out-of-pocket expenses while ensuring a high level of service and patient satisfaction. The Financial Coordinator partners closely with patients, clinical staff, insurance verification teams, and affiliate financing companies to facilitate authorizations, financial clearance, payment collection, and accurate documentation within the electronic medical record system. This role also provides front desk support and participates in rotating weekend and holiday coverage schedules depending on location. This is a full-time, non-exempt position scheduled Monday through Friday with rotating weekends and holidays based on operational needs. Essential Duties and Responsibilities Adhere to all RPMG policies, procedures, and service standards. Demonstrate professionalism and service excellence in all patient, physician, visitor, and team interactions. Counsel new and established patients regarding financial responsibilities, insurance coverage, treatment costs, and financing options. Provide customized treatment plan pricing and supporting financial materials to patients. Contact patients regarding financial counseling and follow up through phone, patient portal, and email communication. Document all patient financial communications accurately within the EMR system. Ensure patient financial questions are answered promptly and thoroughly. Send treatment quotes and itemized cost estimates through approved systems and confirm patient receipt. Initiate authorization requests and coordinate with insurance verification and clinical teams as needed. Maintain and update location-specific financial tracking documents and treatment plan records. Schedule financial review appointments for patients requiring additional counseling. Respond to patient calls and messages in a timely manner, preferably within the same business day. Coordinate with clinical teams to support timely treatment cycle starts, including IVF, FET, and IUI cycles. Review outstanding balance reports daily and proactively contact patients regarding balances prior to appointments. Attempt collection of patient balances prior to appointments and communicate payment expectations appropriately. Support office collection goals and assist in reducing outstanding accounts receivable balances. Verify and update patient demographic and insurance information within the EMR system. Ensure insurance cards and required identification documents are uploaded and current. Submit insurance verification requests and follow up on pending authorizations. Provide compassionate support to patients experiencing financial concerns, treatment changes, or unexpected cycle complications. Educate patients regarding available financing resources and third-party financing options. Serve as a financial liaison between patients, RPMG, affiliate departments, and financing companies. Assist patients with financing applications, loan finalization, and coordination of loan fund distribution. Maintain accurate financial documentation and account notes. Assist with development and updates to patient financial education materials. Provide front desk coverage and rotating weekend/holiday support as assigned. Adapt to changing priorities and operational needs in a fast-paced healthcare environment. Perform additional duties and special projects as assigned. Minimum Qualifications High School Diploma or equivalent Minimum of 2 years of insurance verification experience in a medical office setting Preferred Qualifications Minimum of 2 years of experience in women's health, fertility, or OB/GYN Previous fertility practice experience strongly preferred Knowledge, Skills, and Abilities Strong customer service and patient relations skills Knowledge of medical billing, insurance verification, and authorization processes Excellent verbal and written communication skills Strong organizational skills and attention to detail Ability to manage confidential and sensitive information Ability to multitask and prioritize in a fast-paced environment Strong problem-solving and critical-thinking abilities Collaborative and team-oriented mindset Proficiency with Microsoft Office applications and EMR systems Working Conditions Fast-paced medical office environment Requires flexibility with scheduling, including rotating weekends and holidays Frequent interaction with patients experiencing emotionally sensitive situations Moderate noise level typical of a healthcare office environment Ivy Fertility is an equal opportunity employer.
