We're looking for an exceptional Special Assistant to the Regional Medical Director to provide high-level support through executive coordination, clinical documentation, and operational support. This is an exciting opportunity for a highly organized healthcare professional who thrives in a fast-paced environment and enjoys working alongside physician leadership. This is not a traditional administrative assistant position. You'll play an integral role in supporting clinical operations by coordinating complex medical-legal documentation, managing competing priorities, and helping ensure the Regional Medical Director is fully prepared to deliver exceptional care across multiple clinic locations. What You'll Do Assist the Regional Medical Director with real-time dictation, clinical documentation, and report preparation during patient evaluations, peer-to-peer (P2P) calls, case reviews, and interdisciplinary meetings. Prepare, organize, and coordinate complex California workers' compensation and medical-legal reports, ensuring documentation is accurate, complete, and submitted within regulatory deadlines. Manage the Regional Medical Director's calendar by coordinating patient evaluations, meetings, administrative priorities, and documentation time while anticipating scheduling needs. Coordinate document workflows by tracking report deadlines, maintaining organized case files, managing version control, and ensuring timely distribution of finalized reports. Support workers' compensation processes by organizing documentation for Utilization Review (UR), Independent Medical Review (IMR), peer-to-peer discussions, and specialty evaluations. Draft professional correspondence and communicate with attorneys, adjusters, payers, referring providers, and internal clinical teams. Proactively anticipate physician needs by preparing case materials, identifying priorities, and helping ensure clinical and administrative operations run smoothly. Why Join IOH? Required Qualifications Minimum 2-4 years supporting a physician or clinical executive in a healthcare setting. Strong knowledge of medical terminology and clinical documentation. Excellent organizational skills with the ability to manage multiple priorities and deadlines. Experience managing complex physician schedules. Proficiency with electronic medical record (EMR) systems and Google Workspace. Typing speed of 65+ words per minute . Outstanding written and verbal communication skills. Ability to work independently while exercising sound judgment and maintaining strict confidentiality. Occasional travel to Anaheim and San Diego for training or business needs Preferred Qualifications Experience with California workers' compensation documentation and medical-legal reporting. Familiarity with PR-4, PTP, UR, IMR, and other DWC documentation requirements. RN or LVN licensure. Medical Scribe certification. Associate's or Bachelor's degree in Health Information Management, Healthcare Administration, Medical Assisting, or a related field.
