JOB PURPOSE AND SUMMARY
The Clinical Operations Support Specialist plays a key role in supporting the daily functions of the clinic. This position ensures that clinical teams have the resources, information, and coordination needed to provide safe, timely, and effective care to patients. The Specialist manages schedules, tracks clinical documentation, assists with regulatory and compliance requirements, and helps streamline communication between clinical staff, providers, and administrative teams. By keeping clinical operations organized and responsive, this role helps the center maintain high standards of patient care and operational efficiency. This will be a remote position that can be performed from anywhere in the contiguous United States.
ESSENTIAL DUTIES AND RESPONSBILITIES
Administrative Operations Oversee and manage clinical billing processes to ensure accuracy, completeness, and timely submission. Coordinate patient-approved scheduling to optimize timely patient access, provider availability, and operational efficiency. Ensure all scheduling changes are documented in alignment with organizational policies. Develop and maintain standardized processes for billing, scheduling, and reporting functions. Data & Reporting Prepare and distribute regular reports on clinical productivity, and operational performance. Monitor key performance indicators (KPIs) to identify trends, gaps, and opportunities for improvement. Ensure compliance with internal, payer, and regulatory requirements. Leadership & Collaboration Serve as the primary point of contact for administrative nursing operations. Collaborate with providers, nursing staff, and administrative departments to resolve issues related to billing, patient scheduling, and clinical documentation. Provide training and guidance to staff on administrative procedures and best practices. Quality & Compliance Maintain compliance with all applicable healthcare regulations, payer guidelines, and organizational policies. Audit billing and scheduling processes to identify discrepancies and implement corrective actions. Promote a patient-centered approach in all administrative functions. KNOWLEDGE, SKILLS, AND ABILITIES
Demonstrated knowledge of clinical billing procedures, healthcare scheduling practices, and operational reporting. Proficiency in EMR systems and Microsoft Office Suite (Excel, Word, Outlook). Strong organizational, communication, and problem-solving skills. Ability to manage multiple priorities in a fast-paced environment with high attention to detail.
REQUIRED EXPERIENCE, EDUCATION AND/OR TRAINING
Bachelor's degree in nursing or related field preferred. Minimum 3-5 years of nursing experience, with at least 2 years in a leadership or administrative role. Current RN/LVN license in good standing (preferred).
PHYSICAL WORKING REQUIREMENTS
The position involves prolonged periods of sitting at a desk, extensive computer use, and phone interaction. Additionally, the role may require occasional lifting of up to 20 pounds for office supplies or equipment.
