Job Description

Help Keep a Busy Physical Therapy Clinic Running Smoothly While Delivering an Exceptional Patient Experience Empower PT & Wellness is looking for a highly capable and organized Patient Care Coordinator / Front Office Administrator to support the daily operations of our growing outpatient physical therapy practice. This is a critical role that requires someone who can confidently manage scheduling, patient communication, insurance coordination, and front office operations while maintaining a high standard of professionalism and customer service. The right candidate is detail-oriented, proactive, and comfortable balancing multiple priorities throughout the day. You should be able to communicate clearly with patients, stay organized in a fast-paced environment, and take ownership of keeping clinic operations running efficiently. Why This Role Matters As a Patient Care Coordinator, you'll serve as a central point of coordination between patients, providers, schedules, insurance, and daily clinic operations. You'll help ensure therapist schedules remain productive, patients receive timely communication, insurance requirements are addressed appropriately, and front office processes are handled accurately and efficiently. This position plays a significant role in supporting patient attendance, reducing scheduling gaps, maintaining operational efficiency, and contributing to the overall success of the clinic. What You'll DoSchedule Management & Patient Coordination Convert incoming inquiries and referrals into scheduled evaluations Pre-book patients throughout their plan of care Optimize therapist schedules to maximize productivity Fill cancellations and open appointment slots Manage waitlists and patient scheduling adjustments Follow up with patients regarding missed appointments and scheduling needs Insurance & Financial Coordination Verify insurance benefits and obtain authorizations Explain insurance coverage, deductibles, and copays clearly and professionally Collect payments at check-in and check-out Support billing and collections processes Patient Communication & Lead Conversion Answer incoming phone calls, emails, and patient inquiries Follow up with prospective patients and referral leads Communicate professionally and confidently with patients Help patients understand scheduling options and next steps in the care process Front Office Operations Welcome and check in patients Maintain a professional, organized, and efficient front desk environment Coordinate daily communication between patients and providers Assist with administrative tasks and office operations Data Entry & Documentation Enter and maintain accurate patient information within the EMR Update electronic records and patient documentation Maintain organized and compliant patient files Utilize Google Drive, Gmail, and clinic software platforms effectively Marketing & Community Support Assist with social media and marketing initiatives as needed Support clinic growth efforts and patient engagement activities You're a
Great Fit If You:
Have at least 2 years of scheduling experience Have 1-2 years of front office, patient care coordinator, or healthcare administrative experience Communicate confidently and professionally both in person and over the phone Have experience with insurance verification, authorizations, scheduling, and patient communication Are comfortable using EMR systems, Google Drive, and Gmail Can manage multiple priorities while maintaining attention to detail Take ownership of your responsibilities and follow through consistently Are dependable, organized, and solutions-oriented Thrive in a team-oriented environment What's In It for

9:00 AM - 6:00
PM Tuesday & Friday:
