We're looking for a Patient Care Coordinator who blends kindness, focus, and follow-through to make every visit feel effortless for patients and staff alike. Training and Onboarding You will not be expected to "figure it out" alone. We provide structured onboarding and hands-on training so you feel confident in systems, scheduling, and patient interactions . You will learn the tools, the flow, and the expectations step-by-step, so you can show up calm, capable, and clear, even if you're newer to healthcare or making a career pivot.
What You'll Do:
New Patient Conversions and Scheduling Turn inquiries into scheduled evaluations using clear, caring communication Respond quickly and warmly to leads, questions, and referrals Build a balanced schedule that keeps the clinic flowing and supports plan-of-care completion Daily Operations Maintain scheduling, confirm patient appointments, and manage incoming calls and emails efficiently Welcome and check in patients, creating a calm, organized front desk experience Coordinate closely with therapists to make each visit flow smoothly Open and close the clinic depending on shift schedule Insurance and Financial Coordination Verify insurance and authorizations so patients understand coverage Explain deductibles, copays, and financial responsibility in simple terms Collect copayments, deductibles, and prior balances at the time of service with confidence and professionalism Case Management and Admin Support Keep records, documentation, and patient forms accurate and organized Enter and update all patient information accurately in the EMR Maintain complete, clean electronic charts that support the clinical team You're aGreat Fit If You:
Are reliable and a fast learner who picks up new software and processes quickly Have strong communication skills and can explain medical and financial information clearly Are self-motivated with strong follow-through, taking initiative without repeated instruction Are comfortable with sales-style conversations, especially around out-of-pocket costs Are outgoing and personable, creating a welcoming environment where patients feel confident Bring a positive, problem-solving mindset and look for solutions when it gets busy Have a leader/manager mentality, able to keep things moving even when not all information is available Can manage a fast-paced day with detail, professionalism, and composure Required Skills and Experience 1-2 years of experience in front desk/pcc or admin preferred Exceptional customer service and communication skills Strong attention to detail and ability to prioritize tasks Efficient time management in a complex, fast-paced environment while staying calm and professional Proficiency in EMR systems and ability to learn new software quickly Knowledge of HIPAA regulations and commitment to patient confidentiality 1-2 years of experience preferred (front office, PCC, or healthcare admin) PT clinic or medical office experience is a plus Bilingual Spanish is a plus What's In It forYou Pay:
