Job responsibilities:
- Greet patients and clients in person or on the phone in a professional, friendly and welcoming manner
- Assist with day-to-day aspects of the business, including patient scheduling, collecting payments, insurance eligibility verification, send and receive patient registration forms, purchasing supplies, accounts payable, monthly accounting and daily cash management, including inventory and other internal controls.
- Implements all regulations and clinic policies pertaining to customer relations, physician relations, billing, allocation of payments, collections, write-offs, etc.
- Answers questions doctors may have about payments and the business operations of the clinic.
- Answers patient inquiries in person and on the phone.
- Saves and balances the day sheet, and prepares receipts for deposit.
- Follows up on insurance company requests for additional information and denials.
- Assists with other patient service responsibilities as requested.
- Open and close the office
- Accept mail delivery
- Scribe medical notes as per doctor request
- Take a history of the patient
- Basic work-up of patients to prepare them for doctor, includes checking visual acuity, extraocular movements, and other tests such as visual field testing

- Posts charges and payments accurately and promptly, including the proper use of modifiers.
- Maintains patient confidentiality at all times and communicates with the compliance officer regarding procedural changes and concerns.

- Cooperates and communicates with all staff members and physicians.
- Attends required meetings.
- Participates in professional development efforts to stay current on insurance coverage changes and regulatory matters.
- Demonstrates a willingness to help as needed in all patient service roles.
- Complies with all other _Patient _policies and procedures including punctuality, attendance and dress codes.
- Word processing and computer experience required. type speed 40 wpm - microsoft office skills (word, excel, access database)

- Ability to handle and count cash.
- Ability to sit for long periods of time, with occasional bending.
- Must be able to view and enter data into the computer for extended periods.
- Must be able to communicate via the telephone.
Personnel:
- Manages and directs the recruiting and orientation programs for associates.
- Works closely with doctors, executive administrator and supervisors in the hiring and, if necessary, termination of associates.
- Insures associates' understanding of _Practice'_s mission and objectives and the importance of attitude, attendance, accuracy, appearance and aptitude in achieving our objectives.
- Seeks associate input regarding clinic operations, policies and procedures.
- Resolves concerns and grievances, if possible, or refers unresolved problems to the executive administrator.
- Empowers associates to achieve patient satisfaction within operating policies.
- Directs the conduct of oral and written performance evaluations and regular salary reviews.
- Implements _Practice_'s personnel policies.
- Monitors associates' performances, and takes appropriate action to assure quality performance and quality improvement.
- Implements ongoing associate employee training programs in such areas as understanding basic medical terms and procedures, telephone etiquette, cardiopulmonary resuscitation, diagnostic and procedural coding and other clinical areas, as needed.
- Monitors and controls overtime and associates' absences.
Patient and Referring Physician Satisfaction:
- Monitors patient satisfaction, and presents periodic reports to the executive administrator.
- Makes recommendations for improving patient satisfaction.
- Monitors the ease of access by referring physicians and promptness of letters to referring physicians, and makes periodic reports to the appropriate committee and the executive administrator.
- Monitors and insures satisfactory appointment scheduling system.
- Monitors and insures satisfactory recall system.
Medical Records:
- Ensures the proper preparation, documentation, storage and distribution of medical records.
- Ensures the confidentiality of medical records.
- Ensures that corporate policies are followed regarding copying and dissemination of medical records.
Resource Utilization and Marketing:
- Manages the day-to-day utilization of clinic business resources to achieve optimal efficiency and effectiveness in all areas, including personnel, facilities, equipment, records, supplies and capital.
- Arranges for facilities and equipment maintenance and repair as necessary.
- Monitors the purchasing of supplies and services to assure that the clinic is obtaining the most competitive prices.
- Maintains a clinic forms management program to obtain maximum price discounts and economies in forms purchasing.
- Recommends methodologies to enhance business opportunities for the practice.
- Implements marketing strategies as approved by the executive committee.
- Cooperates with credentialing staff to insure ongoing credentialing of doctors with payment plans.
Committees and Meetings:
- Attends organization committee meetings as requested.
- Works with the executive administrator to prepare agendas and keep and disseminate minutes.
- Conducts periodic coordinating committee meetings to discuss clinic results, progress, problems and solutions.
- Prepares and disseminates minutes to all participants and the executive administrator.
- Prepares and presents periodic reports, findings and recommendations regarding all areas of clinic business and operations to the executive administrator and relevant committees.
- Promotes the implementation of organizational decisions and monitors results.
- Staffs corporate committees or initiatives as requested by the executive administrator.
- Other duties as required.
- Minimum Education Requirements
- A graduate degree in business or a related area is desired; an undergraduate degree is required.
- Minimum Background Requirements
- Management experience in medical group practice is preferred.
- Microsoft office and computer experience required
- Must have a working knowledge of Medicare, Medicaid, commercial insurance and managed care.
- Must have basic financial skills and sufficient knowledge of accounting to direct the daily operations, review financial reports and determine corrective actions as necessary.
