Job Description

The Manager of Specialty Clinic is responsible for overseeing the daily operations of a multi-specialty clinic serving orthopedics, urology, podiatry, and pain management. This position requires strong leadership, clinical knowledge, and operational expertise to ensure efficient clinical workflows, exceptional patient care, and effective coordination among specialty providers in a critical access hospital setting. The manager's scope of practice is determined by the rules, policies, and procedures developed by Whitman Hospital and Medical Clinics and the guidelines/regulations of the State of Washington as well as federal regulatory agencies.

STANDARD EXPECTATIONS

Manages staff including hiring, scheduling, performance evaluation and following the disciplinary process. Develops procedures and competencies for direct reports and ensures they are properly trained and educated. Provides input into the development of department policy. Assists in identifying and initiating department process improvements. Measures and monitors staff productivity. Procures or requests necessary resources to efficiently provide services.
DUTIES & RESPONSIBILITIES
Management Functions Oversee daily operations of multi-specialty clinic. Develop and implement clinic schedules to optimize provider productivity and patient access. Coordination between specialty providers and hospital departments to ensure seamless patient care. Leads, directs and inspires high functioning team to exceed expectations of patients and providers. Works in direct collaboration with the Senior Director of Primary Care and Specialty Clinics, Manager of Provider Support, and Manager of Patient Access. Communicates and collaborates to implement standardized evidence-based practices consistent with the organization and across locations. Directs and acts as a coach for staff on best practices serving patients, efficiency gains and enhance practice performance. Develops and reports metrics for measuring practice performance internally and against industry benchmarks. Works closely with the Senior Director of Primary Care and Specialty Clinics to ensure that expectations of the patients and providers are met. Oversees the daily operations of the staff in the clinic, including access, scheduling, patient flow, phone/fax, information systems, medical records and patient care to ensure maximum service to patients. Develops and maintains an effective organizational structure to facilitate clinic goals; manages recruitment, retention, training, and performance management of clinic staff. Analyzes monthly operational reports and statistical data on patient volumes and staffing plans; recommends and implements process improvement plans to address areas of deficiency; monitors/measures performance metrics. Adherence to annual clinic operating budget. Required to be available for staffing calls for scheduling changes. Conducts daily/monthly staffing coordination. Essential Functions Conducts regular chart, records, or file reviews, ensuring that all appropriate record-keeping is performed on a timely basis and that the governing agency regulations, legal, ethical and licensing standards are met. Assesses and evaluates staff to identify strengths and minimize weaknesses. Oversees patient care, identifying changing needs, emerging progress, regression or blocks to progress. Approves timecards for all assigned staff members and makes timecard adjustments as necessary. Attends meetings as required by the Senior Director. Provides training and onboarding support for new staff. Participates in quality assurance, quality improvements and utilization review activities and makes recommendations to Senior Director for plans of correction. Maintains established performance and conduct standards in accordance with Whitman Hospital and Medical Clinics standards. Develops clinical staff training programs with the assistance of the RN(s). Conducts competency assessments of all staff members. Provides and records Clinic Staff Meeting decisions and recommendations for dissemination. Performs other duties as assigned.
QUALIFICATIONS
Required Licensed as a
RN/LPN/CMA
in the State of Washington or Clinical Practice Management experience. Previous supervisory experience in a clinic setting. Ability to communicate effectively in writing and verbally. Strong leadership, facilitation, time management, and project management skills. Skilled in dealing with multi-disciplinary teams and an appreciation in working effectively with competing priorities. Solid knowledge of electronic medical record (EMR) and/or other information systems functionality including access, reports and system controls. Knowledge of Microsoft Office (Word, Excel and Outlook). Preferred Bachelor of Science in Nursing Multi-specialty or surgical specialty practice experience
WORK ENVIRONMENT AND PHYSICAL DEMANDS
This position is primarily worked in a clinical and office environment. This may include irregular working hours including weekends and on-call responsibilities. Travel to off-site locations for meetings, education and training may be required. The position will frequently require walking, lifting, reaching carrying, kneeling, bending, stooping, pushing and pulling of objects weighing up to 20lbs. The position will occasionally require the ability to lift, and carry, up to 50 pounds and push or pull over 50 pounds, as well as require bending, twisting, squatting, reaching, reaching overhead, sitting and standing frequently. Occasionally the position requires climbing, kneeling and crawling. The position requires continuous finger dexterity and fine manipulation. All basic life functions such as hearing, seeing, speaking, standing and walking are required. The employee must demonstrate the ability to perform the essential functions of the position, with or without reasonable accommodation.
