About SOM Aesthetics SOM Aesthetics is a luxury cosmetic dermatology and aesthetics clinic focused on thoughtful, patient-centered care and an elevated experience from start to finish. As we continue to grow patient volume and expand clinic hours, we are hiring a full-time Front Office Coordinator to serve as the primary owner of our front-of-house operations. This role is ideal for someone who values professionalism, consistency, and clear ownership, and who enjoys being a trusted point of contact for patients, providers, and staff. The Role The Front Office Coordinator is responsible for managing the day-to-day front desk operations and shaping the patient experience from initial inquiry through checkout and follow-up. This position includes a structured onboarding period with overlap alongside an experienced team member to ensure a seamless transition and strong understanding of clinic systems, workflows, and expectations. Once fully onboarded, this role will independently open and manage the clinic during designated hours, including limited Saturday hours as part of clinic expansion. Key Responsibilities Patient Experience & Front Desk Operations Greet patients warmly and professionally, in person and by phone Manage patient check-in, check-out, scheduling, and confirmations Coordinate patient flow to keep the clinic running smoothly and on time Communicate clearly with providers and clinical staff throughout the day Scheduling, Payments & Administrative Support Schedule consultations and treatments accurately and efficiently Collect payments, process transactions, and manage daily close-out Maintain accurate and organized patient records in the EHR Support patient follow-up communication and care coordination Clinic Operations Serve as the primary front-of-house point person during assigned shifts Open and prepare the clinic for daily operations Independently manage clinic operations during designated hours once fully onboarded Identify opportunities to improve front desk workflows and patient experience Patient Imaging & Documentation Coordinate and manage patient imaging, including standardized before-and-after photography using VISIA and VECTRA systems Ensure images are captured consistently, labeled accurately, and uploaded correctly to the patient record Support clinic standards for photo quality, organization, and documentation to enable clinical decision-making and patient education Schedule & Expectations Full-time, approximately 40 hours per week Weekday shifts during clinic hours Limited Saturday hours once fully onboarded, typically a few hours on select Saturdays as part of clinic expansion Qualifications 2+ years of front desk, patient coordination, or client-facing experience; medical, aesthetics, or hospitality environments preferred Strong communication skills, professional presence, and attention to detail Ability to manage multiple priorities in a fast-paced setting Comfortable working independently and taking ownership of responsibilities Experience with scheduling systems, EHRs, or similar software preferred Reliability, discretion, and a patient-first mindset are essential Compensation & Benefits Hourly pay: $24-26 per hour, depending on experience Full-time W-2 position 401(k) eligibility after 90 days Access to medical-grade skincare and aesthetic treatments as part of our team benefits program Paid training and structured onboarding Opportunity for growth as responsibilities expand Supportive, collaborative team environment in a premium clinic setting Why Join SOM Aesthetics This role offers the opportunity to step into a trusted, visible position within a growing clinic that values professionalism, clarity, and long-term team members.
