Position OverviewWe are seeking a detail-oriented Assistant Clinical Administrative Coordinator to support daily administrative and mailroom operations within a healthcare environment. This role is ideal for candidates with strong organizational skills, data entry experience, and the ability to manage high-volume document processing in a fast-paced setting.
The successful candidate will play a key role in supporting internal departments by handling incoming and outgoing mail, preparing provider payments for distribution, maintaining records, and performing general administrative duties.
Key Responsibilities
Receive, open, sort, and distribute incoming mail to appropriate departments in a timely manner.
Prepare and process outgoing mail, ensuring accuracy and compliance with company procedures.
Print, assemble, and distribute operational documents, reports, correspondence, and other materials as needed.
Prepare and mail provider payment checks approximately four times per week.
Maintain detailed mailing logs and tracking spreadsheets.
Perform accurate data entry and update internal records and databases.
Operate office equipment including photocopiers, mail machines, folding machines, inserting machines, and high-volume printers.
Conduct quality checks on documents and mailings to ensure completeness and accuracy.
Organize, file, and maintain administrative records and documentation.
Assist internal departments with administrative requests and special projects.
Monitor office supply inventory related to mailroom and document production functions.
Maintain confidentiality and follow company policies regarding sensitive information.
Physical Requirements
Ability to stand, walk, bend, and lift mail trays, paper supplies, and document boxes as needed.
Ability to perform repetitive administrative and document-processing tasks throughout the workday.
