We are seeking a highly professional, enthusiastic, growth-minded Patient Care Coordinator to serve as the first point of contact for our patients and referral partners. This role is the heart of our practice and plays a critical role in creating an outstanding patient experience while supporting the growth and success of the office. Your Mission As our Patient Care Coordinator, you will help ensure every patient and referring office receives an exceptional experience from the first phone call through treatment completion.
You will:
Turn inquiries into scheduled appointments. Build trust with anxious patients. Create strong relationships with referring offices. Maintain an efficient and productive schedule. Support treatment acceptance and financial conversations. Help ensure patients receive timely care. Contribute to the overall success and growth of the practice. Key ResponsibilitiesPatient Experience Welcome patients with warmth, professionalism, and genuine care. Create a calm and positive experience for patients who may be in pain or anxious. Answer phones with confidence, empathy, and professionalism. Ensure patients feel heard, understood, and supported. Scheduling Excellence Optimize the daily schedule to support patient needs and practice productivity. Convert incoming calls into appointments whenever clinically appropriate. Manage emergency scheduling with urgency and efficiency. Coordinate treatment appointments and follow-up care. Referral Relationship Management Build and maintain exceptional relationships with referring dental offices. Communicate promptly and professionally with referral partners. Ensure referral information is received, organized, and processed accurately. Represent Modern Endo of Napa with excellence and professionalism. Financial & Administrative Coordination Discuss treatment fees, insurance benefits, and financial arrangements with confidence and compassion. Assist patients in understanding treatment recommendations and financial options. Maintain accurate patient records and documentation. Process insurance information and billing efficiently. Practice Growth & Team Collaboration Help support practice production goals through effective scheduling and communication. Monitor opportunities to improve workflow and patient experience. Collaborate closely with the doctor and team to ensure smooth daily operations. Contribute ideas that support growth, efficiency, and excellence.
