Clinical Office Coordinator Behavioral Health and Neurofeedback Clinic Redlands, CA | Part-Time | $24-$26/hour, depending on experience About Us Morningstar Educational and Psychological Services, Inc. is a behavioral health and neurofeedback clinic in Redlands, CA, founded by Dr. Connie McReynolds, a nationally recognized expert with more than 35 years of experience in psychology and rehabilitation counseling. Our clinic provides individualized services for children, adults, and veterans, with a focus on helping clients improve attention, learning, emotional regulation, and overall quality of life. About the Role We are seeking an experienced Clinical Office Coordinator to support daily clinic operations and provide excellent client service in a client-centered behavioral health setting. This part-time position offers some scheduling flexibility based on clinic needs and candidate availability. The role involves front office workflow, scheduling for both clinic locations, client communication, payment collection, confidential records, and routine administrative support. This position is ideal for an experienced office professional who is comfortable managing details, taking initiative, applying sound judgment, and helping maintain a steady, professional front office experience for clients, families, and team members Key Responsibilities Client Services
  • Greet clients and families and support a professional front office experience
  • Answer phone calls, respond to emails, and assist with client inquiries
  • Respond appropriately to client concerns and front office needs Scheduling and Team Coordination
  • Manage scheduling for both clinic locations through the central front office system
  • Communicate scheduling changes, client updates, and daily office needs to clients and team members as appropriate
  • Support daily front office workflow by recognizing concerns or difficulties, helping resolve them appropriately, and knowing when to seek guidance Office Support
  • Collect payments, record transactions, assist with routine billing questions, and flag payment follow-up needs
  • Maintain digital and paper records
  • Assist with intake forms, client paperwork, authorizations, and routine documentation
  • Handle confidential client information consistent with HIPAA and clinic policies
  • Help maintain office supplies, forms, and daily front office organization Required Experience and Skills Minimum 5 years of experience in a behavioral health, mental health, psychology, or medical office setting required
  • Experience with front desk procedures, scheduling, client communication, payment collection, and confidential records
  • Able to manage frequent scheduling changes, client communication, and administrative demands in a client-facing behavioral health office
  • Highly organized and able to manage multiple priorities while keeping schedules, client communications, and payment records accurate and current
  • Able to take initiative, recognize office concerns, help resolve problems appropriately, and involve the appropriate team member when guidance is needed
  • Familiarity with HIPAA and healthcare confidentiality requirements
  • Comfortable using scheduling systems, client management software, email, Microsoft Office, or similar tools
  • Able to communicate professionally with clients, families, providers, and team members Education or equivalent experience: Bachelor's degree preferred; substantial relevant behavioral health, mental health, psychology, or medical office experience will be considered in place of a degree.
