  • Supervise daily activities of front and back office staff to ensure efficient patient flow and minimal wait times
  • Ensure exam rooms, clinic areas, and equipment are clean, stocked, and maintained
  • Provide hands-on training for new hires and ongoing education for existing staff
  • Coordinate staff schedules, breaks, lunches, and coverage while minimizing overtime
  • Approve and submit timesheets, including justification for any overtime
  • Assist with staffing for marketing events or special needs
  • Ensure staff completes all yearly trainings (e.g. blood borne pathogens, code blue, HIPAA, OSHA,
  • Always comply with health plans regulations, OSHA Regulations, and HIPAA regulations
  • Follow safety regulations and never lift, hold, or carry patients or heavy items.
  • Assist the provider with interpretation when needed
  • Monitor adherence to EMR documentation and report violations to Risk Management and the EMR manager for proper follow-up.
  • Collaborate with the purchasing department to maintain supply levels and control expenses
  • Monitor and review daily billing processes, monthly reports, and denial resolutions
  • Communicate insurance and billing updates to staff and the billing team
  • Attend regular trainings with the Risk Adjustment team, the administration, and the performance team to review quality performance reports. To optimize RAF scores, reduce compliance risk, and enhance clinical documentation improvement
  • Support the HEDIS audit process and implement necessary actions for improvement.
  • Provide oversight of billing compliance with changing health plan requirements
  • Review files or IMS periodically or audit patient records to ensure quality control, continuation of care, and proper coding.
  • Follow up on VFC program requirements by ensuring all staff receive proper training and maintain all logs.
  • Manage the supervision of quality control of lab operations
  • Participate in hiring, disciplinary actions, and terminations in coordination with HR
  • Conduct performance evaluations and enforce company policies consistently
  • Handle minor patient complaints and assist with patient grievance processes
  • Maintain a professional, supportive, and communicative work environment
  • Coordinate the daily flow in the back office and directly assist staff when necessary.
  • Maintain open and constant communication channels with other departments and Corporate administration
  • Assist and work on special projects assigned by the administration.
  • Travel to satellite clinics as required
  • Assist during site and chart inspections from health plans, state agencies, or DHCS
  • Assist and implement the correction plan assigned by the health plans after audits.
  • Attend staff meetings as required by the Administration.
  • Attend any special educational updates and training required to perform your job
