Program Manager I, Clinical Case Supervisors, Behavior Coordinators, Administrative Assistant (as assigned) Position Summary The Program Manager (BCBA Required) provides clinical leadership and program oversight to ensure delivery of high-quality, ethical, and evidence-based Applied Behavior Analysis (ABA) services. In partnership with the Program Manager I, this role is responsible for managing day-to-day clinic/program operations, supporting strong clinical outcomes, supervising staff performance, and maintaining compliance with organizational, payer, and ethical standards. This position requires an active BCBA certification/license and includes direct responsibility for mentoring and supervising developing clinicians , including individuals pursuing BCBA certification and RBT credentialing. The Program Manager must be available to provide supervision and sign off supervision hours in alignment with BACB requirements , organizational policy, and ethical standards. Essential Duties and Responsibilities 1. Program & Clinic Operations Oversee daily clinic/program operations to ensure efficient workflows, staffing coverage, scheduling coordination, and consistent service delivery. Ensure operational tasks are completed timely and service interruptions are minimized. Coordinate staff responsibilities and clinic schedules to support client continuity and utilization goals. Identify operational barriers and resolve issues impacting service quality, client experience, and team performance. Support program growth and ensure operational systems remain organized and scalable. Ensure all clinical staff adhere to 360 Human Services clinical guidelines and all expectations established by the Clinical Director. Uphold and model the culture, values, and mission of 360 Human Services, ensuring all team members and families at the site actively reflect organizational standards. 2. Clinical Program Oversight (BCBA-Level Responsibilities) Provide BCBA clinical supervision across clients assigned to the clinic at a minimum of 25 hours per week. Conduct intake assessments and authorize treatment plans. Perform clinical quality overlaps with Case Supervisors and Behavior Coordinators. Review, approve, and submit all clinical reports and documentation. Address and resolve all clinical client concerns and escalations. Ensure all clinical staff comply with the BACB Ethics Code and all applicable state and county laws and regulations governing ABA services. Serve as final decision authority for all clinical matters at the site. Provide clinical oversight and ensure treatment planning reflects ABA best practices and ethical decision-making. Develop, implement, and oversee behavior intervention plans, skill acquisition plans, and treatment strategies based on assessment results and ongoing data analysis. Conduct case reviews, analyze data trends, and update programming to support measurable client progress. Ensure clinical programming is individualized, culturally responsive, and aligned with client goals. Provide caregiver coaching and training to promote generalization and long-term outcomes. 3. Supervision, Mentorship & Hours Sign-Off (Required) Provide ongoing mentorship, clinical coaching, and performance feedback to RBTs, Behavior Technicians, Assistant Program Managers, Clinical Case Supervisors, and developing clinicians. Maintain consistent availability to provide supervision and oversight for: BCBA trainees pursuing certification (fieldwork hours) RBT candidates pursuing certification and competency requirements Provide supervision in accordance with BACB supervision requirements , including: direct observation of sessions supervision meetings and case reviews competency-based feedback clinical documentation review and ethics oversight Sign off on supervision hours for supervisees seeking BCBA certification and RBT credentialing, ensuring: supervision requirements are met (frequency, format, documentation) supervision logs and documentation are accurate and timely supervisees demonstrate competency-based skill development Support supervisors through structured development plans and ongoing professional growth expectations. 4. Staff Leadership & Training Hold all staff under their leadership fully accountable to their defined roles, responsibilities, and conduct standards. Address non-compliance promptly and formally. Ensure staff onboarding, training, and performance development is consistent and aligned with organizational standards. Lead team meetings, case meetings, and training sessions to improve clinical consistency and program quality. Support corrective action processes and work collaboratively with leadership and HR when performance concerns arise. Promote a strong culture of professionalism, ethical standards, and client-centered care. 5. Communication & Family Support Maintain professional, consistent, and timely communication with families and team members. Collaborate with families to support treatment success and resolve concerns. Address service issues, family concerns, and escalations professionally and promptly; involve leadership as needed. Maintain a strong customer service mindset and ensure positive stakeholder engagement. Ensure families served by 360 Human Services understand and adhere to the organization policies, culture, and expectations throughout their engagement. 6. Documentation, Quality & Compliance Ensure clinical documentation, notes, reports, supervision documentation, and treatment plans are completed accurately, ethically, and within required timelines. Maintain compliance with BACB Ethics Code, payer standards, confidentiality laws, and organizational procedures. Support audits, quality assurance reviews, and corrective action plans as needed. Ensure staff maintain documentation standards and follow clinical and ethical expectations consistently. Ensure ALL incident reports are completed and submitted within 24 hours of occurrence. This requirement does not exclude or replace CANRA or any mandatory reporting obligation under state or county law. Serve as the designated CANRA mandatory reporter. Mandatory reports are filed within the legally required timeframe independent of the internal 24-hour incident report rule. 7. Clinic Environment, Safety & Maintenance Oversight In partnership with Program Manager I, oversee and coordinate clinic facility needs to ensure the clinic environment remains clean, safe, organized, and operationally ready for clients, families, and staff. Submit and track maintenance requests (repairs, equipment issues, safety concerns) and follow up to ensure timely resolution. Identify and address clinic cleanliness issues or safety hazards and escalate urgent concerns immediately. Maintain clinic supply needs and coordinate with administrative support to ensure readiness and compliance with safety expectations. 8. Additional Responsibilities Support program growth initiatives and operational improvement projects as assigned. Complete other duties as required to support organizational needs and service delivery goals. Required Qualifications Master's degree in Applied Behavior Analysis (ABA) or a related field (psychology, education, behavior science, human development, behavioral health, etc.). Active BCBA certification/licensure in good standing (required). Demonstrated ABA clinical experience with leadership and/or supervisory responsibilities. Proven ability to manage program operations and lead clinical teams with accountability and professionalism. Strong knowledge of ABA assessment, behavior reduction, skill acquisition, caregiver training, and ethical practice. Strong organizational skills and ability to manage competing priorities in a fast-paced environment. Excellent written and verbal communication skills. Flexible availability to meet program needs, clinical supervision requirements, and staff support needs. Preferred Qualifications Experience supervising BCBA trainees and signing off BACB fieldwork hours. Experience supporting RBT competency assessments and credentialing requirements. Clinic-based operations and program leadership experience. Multi-site program oversight experience.
