JOB DESCRIPTION
Smile Mission Valley is seeking a New Patient Coordinator to serve as the first point of contact for prospective patients. This role plays a vital part in converting inquiries into scheduled consultations while creating a positive, confident, and professional first impression. The ideal candidate is organized, performance-driven, and comfortable discussing scheduling, insurance, and financial options. This is a structured, results-oriented role that directly supports office growth — and the right person will thrive in it. Key Responsibilities Answer inbound new patient calls promptly and professionally Respond to web leads and text inquiries in a timely manner Make outbound follow-up calls to new patient leads Proactively follow up with unscheduled or inactive leads Schedule consultations accurately and efficiently Collect and document patient information and referral sources Maintain detailed, consistent notes for every interaction Track lead status and outcomes accurately — this is a key performance metric tied directly to office growth Guide prospective patients toward scheduling by confidently addressing questions and objections What We're Looking For Strong phone communication skills and comfort managing high call volume Organized, detail-oriented, and consistent with documentation Calm and empathetic — especially with anxious or hesitant patients Professional, reliable, and accountable to personal performance metrics Receptive to feedback and able to implement coaching quickly Performance-driven and motivated by measurable results 1+ year of experience in dental, sales, or high-volume customer service required Spanish speaking required Team-oriented with the ability to lead phone conversations confidently Role Expectations Meet daily outbound call and follow-up targets Convert inquiries into scheduled consultations consistently Follow established systems and processes at all times Take ownership of your performance and contribute to office growth Why This Role Matters This position creates the first impression for every new patient who reaches out to our practice.
