What We're Looking For Warm, polished communicator with excellent grammar, spelling, and professional writing Experience in cosmetic surgery, dermatology, aesthetics, ophthalmology, or concierge medicine Prior experience as an office manager, surgery coordinator or patient care coordinator Ability to clearly explain cosmetic surgery, pricing, timelines, and expectations Highly organized multitasker who thrives in a fast-paced, detail-oriented environment Intuitive and proactive—anticipates needs before being asked Experience supporting a high-end or luxury clientele (a plus) Job Summary As the Office Manager / Cosmetic Surgery Coordinator , you are the central guide for patients from their first consultation through recovery and point person for my office. You will coordinate cosmetic surgeries, manage surgical schedules, present quotes, support patient decision-making, maintain communication throughout the pre- and post-operative process, and ensure each patient receives an exceptional, concierge-level experience. Additionally you will guide staff, manage hours and hiring, keep inventory, run office reports, and triage with brand reps.
Key Responsibilities:
Practice Operations & Oversight Oversee daily clinic operations to ensure efficiency, flow, and elevated patient experience Manage clinic schedule optimization (consults, procedures, follow-ups) to maximize productivity Develop and enforce office protocols, SOPs, and workflow systems Serve as primary point of contact for operational issues and problem-solving Staff Management & Leadership Hire, train, and onboard clinical and administrative staff Create staff schedules and ensure appropriate coverage Conduct performance reviews, coaching, and accountability measures Foster a high-end, service-oriented culture aligned with brand standards Financial & Revenue Cycle Management Oversee billing processes (cosmetic + insurance where applicable) Monitor collections, deposits, refunds, and daily financial reconciliation
Track KPIs:
conversion rates, surgical volume, revenue per patient, no-shows Identify opportunities to improve profitability and operational efficiency Surgical Coordination Oversight Supervise surgical coordinator(s) and ensure seamless surgery pipeline Ensure accuracy and consistency of quotes, financing, and patient communication Monitor OR scheduling, block utilization, and case flow efficiency Troubleshoot scheduling conflicts and last-minute changes Patient Experience & Conversion Optimization Ensure a luxury, concierge-level patient experience from first contact to post-op Oversee consultation flow and improve conversion strategies Manage patient communication systems (calls, texts, reminders, follow-ups) Address escalated patient concerns with professionalism and discretion Vendor & Inventory Management Manage relationships with vendors (medical supplies, injectables, devices, etc.) Oversee inventory levels, ordering, and cost control Negotiate pricing and contracts where appropriate Compliance & Risk Management Ensure compliance with HIPAA, OSHA, and medical board regulations Maintain licensure, permits, and required documentation Oversee safety protocols, sterilization logs, and equipment maintenance Marketing & Growth Support Coordinate with marketing vendors or internal strategy (ads, social, branding) Track ROI on marketing efforts and patient acquisition sources Support promotions, events, and referral relationship development Systems & Technology Management Oversee EMR, scheduling software, and CRM functionality Implement process improvements and automation where possible Troubleshoot system issues and coordinate with IT/vendors Why Join Us? Core Benefits Pay :
competitive pay based on experience/qualifications; prefer salaried but open to hourly or bonus structure
Schedule:
~40hrs/week, Monday-Friday 9-530pm
Time Off:
2 weeks off combined paid time off / sick time, not including 10 unpaid holidays.
