  • $25 an hour 16 hours ago Benefits Health insurance Dental insurance 401(k) Paid time off Vision insurance Qualifications Teamwork Writing skills Medical scheduling High school diploma or GED Patient observation Full Job Description General Description Under the direction of the Medical Director, the Front Desk Coordinator assumes responsibility for Hyperbaric Medicine Center (Center) front office duties, including but not limited to patient registration, insurance verification and eligibility; obtaining prior authorizations when needed; communicating with patients, family members, doctors, insurance companies and others regarding scheduling, treatments/procedures and related issues.
Assists APEX with reports for management, and supplies management. Provides reports to executive management team upon request. Emphasis is placed on maintaining the customer service standards, teamwork and meeting the basic needs of the patient. Responsible for ensuring complete medical record with required documents including consents, specific notices regarding insurance, and any other notices required by law and/or to follow Center policies/procedures.
DUTIES & RESPONSIBILITIES
  • Administrative Tasks:
    Handling administrative duties, including record-keeping, preparing reports, managing correspondence, and ensuring compliance with company policies and procedures; and ensure that the front desk is attended to at all times
  • Budgeting and Finance:
    Assists Director with monitoring expenses, preparing budgets, and managing financial aspects like billing, invoicing, and ensuring accuracy in financial transactions by running reports as needed.
  • Problem Solving:
    Addressing issues or conflicts that arise, finding solutions to problems, and making decisions that benefit both patients and the organization .
  • Compliance:
    Follow policies and procedure to ensure compliance with rules and regulations; report compliance issues to management.
  • Daily Tasks:
  • Successful and accurate registration of patients into the EMR
  • Verify insurance at each visit and check eligibility for services
  • Obtain prior authorizations as needed for visits, procedures. Report any issues to the APEX management team.
  • Assists Director with running reports of operations, schedules, etc. as requested
  • Overall, the front office coordinator serves as a crucial link between customers and the business, ensuring a positive experience for patients while efficiently handling the operational aspects of the front office.
  • Demonstrates commitment, caring and accountability for the care of the clinic patients and family members, always striving to meet the customer service standards of the Center.
  • Participates in the team delivery of age specific, multicultural care of the patient.
  • Initiates appropriate comfort and safety measures according to the needs of all assigned patients.
  • As a team member, adheres to clinical and administrative policies and procedures when providing direct patient care.
  • Reports pertinent patient observations and reactions to the Director in a timely manner.
  • Meets the general performance standards of the position including safety and infection control, fire, and disaster preparedness.
  • Identifies and reports unsafe practices or situations. Complies with all infection control regulations and policies.
  • Collaborates with the Director to assist with documentation for billing company, ensuring efficient processing of claims within established timelines.
  • Facilitates effective communication with center physicians, clinicians, and/or the Director regarding superbill review and preparation, addressing questions and concerns promptly.
  • Manage inventory levels of both back and front office supplies, ensuring an ample and organized supply to support seamless operations.
  • Assists the Director with other front office or administrative duties as required and applicable

  • High School graduate or equivalent; post high school education preferred
  • Minimum one (1) year experience in an outpatient wound care and/or hyperbaric program preferred.
  • Ability to interact in a professional manner.
  • Working knowledge of healthcare insurance practices.
