About the Role As our Patient Experience Coordinator / Concierge Receptionist, you will serve as the front line of our practice experience. You will help patients feel welcomed, cared for, informed, and supported from the moment they contact our office. The right person for this role is: Warm, confident, and polished in communication Poised and composed under pressure Highly organized and detail-oriented Fearless in handling challenges and difficult conversations professionally Emotionally intelligent and secure in navigating patient concerns or disagreements calmly Proactive, dependable, and solution-oriented Comfortable multitasking while maintaining professionalism Naturally service-minded with strong interpersonal instincts We are not simply hiring someone to answer phones. We are looking for someone who will help protect and strengthen the culture and patient experience of our practice. Responsibilities Welcome patients with professionalism and warmth Manage scheduling and patient coordination with precision Answer phones and respond to patient needs thoughtfully and promptly Coordinate communication between providers, patients, and staff Maintain confidentiality and discretion at all times Support office organization and daily administrative operations Help create a calm, high-touch patient experience Anticipate needs and solve problems proactively Handle patient concerns, complaints, or sensitive situations with composure and professionalism Help de-escalate tension and support positive resolution when challenges arise Success in this role means: Patients feel genuinely cared for and respected The office runs smoothly and professionally Communication is clear and reliable Details are handled thoughtfully and accurately The team feels supported and aligned Problems are addressed proactively rather than reactively Qualifications Preferred qualifications include: Experience in healthcare, concierge service, hospitality, or customer-facing roles Strong written and verbal communication skills Excellent organizational skills and attention to detail Professional demeanor and emotional maturity Ability to adapt in a fast-paced environment Comfort with technology and scheduling systems Bonus if you have: Experience in a concierge or private medical practice EMR/EHR familiarity A natural hospitality mindset Our Core Values We believe great patient care starts with a strong team culture.
