This Is Not a Receptionist Job We're hiring a Patient Experience Manager — the operational backbone of our clinic and the standard-setter for what a premium patient experience looks like. You are the first face patients see. You are the last detail checked before the day ends. You are the reason nothing falls through the cracks. What You'll Own Patient Experience Assist at the front desk: greet and check in all patients with warmth, confidence, and professionalism; check patients out and process payments with accuracy Manage all inbound calls, appointment scheduling, and patient communications Proactively contact lapsed patients and backfill same-day cancellations Maintain a spotless, welcoming front office and lobby that reflects our brand Clinic Operations Own the day-to-day operational rhythm of the clinic — if it needs to happen, you make it happen Manage office supply inventory and budget Coordinate vendor relationships and service contracts Support providers and clinical staff to keep patient flow moving efficiently Complete end-of-day closeout consistently and without being asked Financial & Administrative Process and track clinic bills and accounts payable Support payroll processing and timekeeping accuracy Identify inefficiencies and bring solutions — not just problems Compliance & Brand Protect patient confidentiality in full compliance with HIPAA and all applicable regulations Represent the Top Tier brand with professionalism, enthusiasm, and discretion — always What We're Looking For 5+ years in a medical, wellness, or operations role — front office experience required Comfortable with EMR systems and scheduling tools (we use Charm Health) Obsessively organized, highly detail-oriented, and able to juggle competing priorities without dropping anything Warm with patients. Direct with vendors. Clear with the team. Colorado Compensation:
