Job Summary At the LaVie Institute, we believe every patient deserves an exceptional experience from the very first interaction. Our Patient Care Coordinators are trusted patient advocates, relationship builders, and key contributors to the growth of our practice. As the first point of contact for prospective and existing patients, you will play a critical role in guiding patients through their aesthetic, surgical, and wellness journeys while helping them confidently move forward with treatments that align with their goals. This is a role that is bonus eligible. Duties Serve as the primary point of contact for prospective surgical patients, creating an exceptional and personalized experience from initial inquiry through surgery scheduling. Build trust and rapport with patients while educating them on surgical procedures, financing options, and the patient journey. Present treatment plans and pricing confidently while assisting patients in making informed decisions regarding their care. Close surgical consultations by converting qualified patients into booked surgical procedures and collecting deposits in accordance with practice policies. Proactively follow up with all leads, consultation patients, and unsold opportunities through phone calls, text messages, email, and CRM campaigns to maximize conversion. Maintain an organized and accurate sales pipeline within the practice CRM, ensuring all patient communications, follow-up activities, and outcomes are properly documented. Track and manage key performance indicators (KPIs) including lead volume, consultation volume, consultation utilization, conversion rates, booked revenue, and scheduled surgery volume. Monitor personal productivity metrics and consistently work toward individual and team revenue goals. Schedule surgical procedures, pre-operative appointments, post-operative visits, and related patient care appointments while optimizing physician schedules. Coordinate financing discussions and assist patients with available payment and lending options. Work closely with surgeons and providers to understand treatment recommendations and effectively communicate the value of proposed procedures. Reactivate dormant leads and past consultation patients through strategic follow-up and relationship-building efforts. Ensure all patient records, estimates, consent documentation, and financial agreements are complete and accurately maintained. Participate in marketing events, patient education seminars, and promotional campaigns designed to generate new consultations and surgical bookings. Collaborate with leadership to identify opportunities for improving patient conversion, retention, and overall practice growth. Deliver a concierge-level patient experience that reflects the elevated standards and reputation of LaVie Institute. Experience Previous experience as a Patient Care Coordinator, Surgical Coordinator, Patient Consultant, Treatment Coordinator, or similar sales-focused role in plastic surgery or medical aesthetics. Knowledge of cosmetic surgical procedures, non-surgical aesthetic treatments, and patient financing options. Experience working with CRM platforms such as GoHighLevel, LeadLoop, Salesforce, HubSpot, or similar lead management systems. Familiarity with tracking and reporting key performance indicators including lead conversion, consultation utilization, scheduled revenue, and surgical bookings. Success in This Role Requires A passion for sales and relationship-building. Strong closing skills and confidence discussing financial investments with patients. Consistent follow-up and pipeline management. Accountability to measurable performance metrics. Excellent organization, communication, and customer service skills. The ability to create urgency while maintaining empathy and professionalism.
Pay:
$30.00 - $40.00 per hour
