This position can accommodate 24 hours (part time) to 32 hours (full time) per week, dependent on candidate needs Position Summary The Front Office Administrator is the first point of contact for patients and visitors, serving as a representative of our practice with professionalism and warmth. This role is responsible for managing all aspects of front office operations, including patient reception, scheduling, appointment verification, and payment collection, while ensuring a smooth and positive experience for every patient. We are seeking a professional who contributes to a positive, respectful workplace through kindness, collaboration, and generosity of support toward colleagues and patients/clients. Essential Responsibilities Greet and check in patients with kindness and professionalism, ensuring accurate demographic and insurance information is collected and updated. Check out patients efficiently, process payments, and review financial arrangements as appropriate. Schedule and confirm appointments according to office protocols. Answer and route phone calls in a professional, friendly manner. Be prepared to inform patients about insurance arrangements, anesthesia requirements, and doctor's advice. Have a general knowledge of procedures to be able to speak to patients by phone or in person Prepare and maintain the majority of patient records, charts, and supporting documentation, ensuring accuracy and confidentiality. Ensure accuracy of health history form, demographics and insurance information. Coordinate with the insurance department to communicate benefits and patient responsibilities. Enter patient charges and reconcile daily transactions; prepare bank deposits and process electronic deposits when needed. Assist with office communication, including email correspondence and distributing daily schedules. Maintain reliable attendance and punctuality. Adhere to the mission of the practice: Our offices are highly regarded in the Boulder and Longmont areas as the preeminent OMS/Implant surgery practice. We deliver highly skilled, integrity-driven patient care in a safe and stress-free environment. We consistently strive to exceed our patients' and referring dentists' expectations. Using an exceptional patient focused approach, we ensure our patients are treated with respect and compassion in a safe and comfortable environment by focused and dedicated professionals. Additional Responsibilities Monitor and maintain an adequate supply of office forms and materials. Send correspondence to referring doctors, including thank-you letters. Participate in front office cross-training opportunities to support the needs of the practice. Perform other duties as assigned.
Qualifications Education:
High school diploma or equivalent required.
Experience:
Front office experience in an oral surgery or dental setting required.
Skills:
Strong oral and written communication skills. Excellent organizational and multitasking abilities. Proficiency with computers, scheduling systems, and standard office software. Commitment to confidentiality and patient service. Demonstrates kindness, empathy, and respect in all workplace interactions Working Conditions This position is based at the front desk of our oral surgery practice, utilizing a computer, telephone system, and standard office equipment. Regular work hours are during the practice's business hours, with weekly hours based on office needs. Ability to communicate, sit for long periods of time, and lift up to 10 pounds is required. Compensation and Benefits Wage:
$27 - $29 per hour
