Full Time and Monday-Friday Position Summary:
The Patient Coordinator / Medical Assistant serves as a key member of the practice team by supporting both clinical and administrative front desk operations. This role is responsible for delivering exceptional patient service, coordinating patient flow, assisting providers with clinical duties, and ensuring efficient day-to-day office operations in a fast-paced medical practice. The ideal candidate is organized, professional, compassionate, and able to multitask while maintaining a high level of patient care and customer service.
Principal Duties & Responsibilities:
Opens the office at the designated time each day and ensures the readiness of the reception area, and that the front desk activities are fully operational. Politely greet and identify patients and visitors as they enter the office and obtain additional patient information as needed. Communicate unexpected delays when necessary. Checks in patients and collects copays at time of office visits in accordance with the patient's insurance plan. Receive payments from patients for services rendered and reconcile daily deposits. Maintains a neat and organized front office and waiting room. Schedule patients for appointments in an efficient and productive manner. Manage and scan patient paperwork into the appropriate sections within the patient chart along with timely communication using the EMR and email. Provide daily confirmation of upcoming patient appointments. Prepare medical records requests received from patients and attorneys. Make copies, fax documents, and shred documents as needed throughout the day. Monitor and order inventory office supplies and items needed for front desk operation. Checks out patient at the conclusion of their appointment(s) including the scheduling of any follow up appointments and/or testing. Verify patient insurance eligibility and obtain both insurance and PCP referrals. Escorts patients from waiting room to examination rooms. Provides patients with appropriate examination apparel. Manage and track patient flow through the office. Documents all necessary patient information accurately in the electronic medical record (EMR) including but not limited to; vital signs, current medications, allergies, PCP and pharmacy, etc. Triage phone calls, messages, and prescription refill requests. Performs clinical tasks such as dressing changes, wound care, and suture/staple removal as needed. Records and updates information in patient record as needed for compliance. Performs efficient and clean turnover of exam rooms and equipment. Performs clerical work associated with patient care, prepares and organizes patient charts for assigned providers. Monitor and order inventory of exam room supplies needed in order to run the patient rooms. Maintains consistent office safety adhering to OSHA guidelines and maintains patient confidentiality in compliance with HIPAA regulations. Perform other related duties as assigned by a Manager or other authorized TVE executive. Qualifications The incumbent must possess a minimum education of a High School Diploma (or GED) with a minimum of 1 year of medical office and customer service experience. Working knowledge of Microsoft, data entry and other business office system is preferred. CMA/RMA preferred. Skills Patient Coordinator / Medical Assistant must consistently demonstrate superior customer service, interpersonal and communication skills to interact effectively with physicians, staff, visitors, patients and family members. Must be highly organized with exceptional attention to details. Incumbent must be able to travel to multiple office locations if requested.
