This position provides leadership, oversight, staff support, scheduling coordination, onboarding support, family communication, intake coordination, and operational management to ensure high-quality clinical care, continuity of services, compliance, and efficient daily operations across center-based and home-based programs. This position maintains a minimum of 18.5 weekly billable hours while also supporting operational leadership responsibilities throughout the organization. The clinical focus of this role is primarily parent education, parent training, intake support, and modified caseload management to allow for operational oversight and leadership support. Essential ResponsibilitiesClinical Responsibilities Maintain a minimum of 18.5 billable hours per week Conduct primarily parent education and parent training sessions Provide supervision and support to BTs/RBTs Support treatment plan implementation and clinical programming Monitor clinical quality and staff fidelity Assist with behavior intervention support and problem-solving Maintain a modified and reduced clinical caseload to support operational leadership responsibilities Ensure clinical documentation and required reports are completed accurately and timely Support continuity of care and clinical consistency across cases Assist with intake assessments and transition planning for new clients Scheduling & Staffing Responsibilities Develop, manage, and oversee staff and client schedules for center-based and home-based services Ensure schedules are completed and communicated within required timeframes Coordinate staffing coverage for call-outs, vacations, absences, and schedule changes Monitor staffing ratios, utilization, and coverage needs to support continuity of care Collaborate with clinical and leadership staff to address scheduling conflicts and operational needs Assist with assigning cases and staffing based on client needs, staff availability, and clinical appropriateness Support operational efficiency while maintaining quality of care and staff accountability Operational Responsibilities Maintain active floor presence and provide real-time staff support Assist with managing daily staffing needs and operational concerns Collaborate with leadership regarding staffing, scheduling, and operational needs Support onboarding processes for new hires Coordinate staff training requirements and compliance tracking Assist with interviewing and hiring BTs/RBTs and clinical staff Ensure staff follow company policies, procedures, and professionalism standards Serve as an on-call support contact for staff and families regarding operational or clinical concerns Respond to urgent staffing, scheduling, and family-related matters as needed Coordinate and schedule intake appointments for prospective clients and families Support the intake and onboarding process for new clients entering services Communicate with families regarding scheduling, operational matters, and service coordination Assist with maintaining operational flow within center-based and home-based services Support retention, continuity of care, and staff accountability initiatives Compliance & Administrative Responsibilities Monitor onboarding completion and training compliance Support maintenance of staff credentialing and required documentation Ensure staff follow HIPAA, Medicaid, and organizational compliance standards Assist with auditing operational and clinical documentation as needed Participate in leadership meetings and operational planning Qualifications BCBA certification and Licensure required Experience in ABA service delivery and supervision Strong organizational and leadership skills Ability to manage multiple priorities in a fast-paced environment Strong communication and problem-solving abilities Experience with scheduling coordination and staff management preferred Knowledge of Medicaid and ABA compliance standards preferred Position Expectations Demonstrate professionalism and leadership presence Maintain clear and timely communication with leadership, staff, and families Support a positive, team-oriented work environment Maintain flexibility to support operational needs of the program Serve as a clinical and operational resource for staff and families
