Job Description

Live In Vitality Wellness Center is a growing medical wellness practice in Brandon, FL. We focus on hormone health, medical weight loss, thyroid care, functional medicine, IV therapy, preventive care, and primary care. We are looking for a dependable, friendly, organized Medical Assistant / Patient Care Coordinator to help with patient care, daily office flow, insurance-related tasks, patient communication, forms, and follow-up. This role is a good fit for someone who enjoys working closely with patients, has medical office experience, and can be warm and bubbly while still maintaining clear professional boundaries. We are a small practice, so the right person needs to be comfortable helping in more than one area, including clinical support, scheduling, phones, insurance workflows, chart preparation, forms, letters, follow-up, and general office organization. This is not a high-volume clinic setting. We are looking for someone calm, professional, detail-oriented, and able to follow through without needing constant reminders.
Responsibilities include:
  • Room patients and obtain vitals
  • Review medications, supplements, allergies, and intake forms
  • Perform InBody body composition scans
  • Assist with injections, labs, IV therapy, and in-office treatments within training and scope
  • Help prepare charts before visits
  • Identify missing forms, labs, insurance information, referrals, or appointment details before the provider needs them
  • Support patient check-in, checkout, scheduling, and follow-up
  • Answer phones and respond to patient messages professionally
  • Help patients understand next steps, appointment types, follow-up instructions, and office policies
  • Support insurance-based primary care workflows, including eligibility awareness, copays, referrals, prior authorizations, refill requests, forms, and lab/imaging follow-up
  • Assist with medical forms such as FMLA, work forms, school forms, disability forms, clearance forms, and other patient paperwork
  • Draft patient letters, work notes, referral letters, support letters, and form-related documentation for provider review
  • Review forms and paperwork for missing information before sending to the provider
  • Communicate with patients about form timelines, required appointments, fees when applicable, and needed documentation
  • Understand the difference between insurance-based primary care and self-pay wellness services such as hormone optimization, medical weight loss, functional medicine, and specialty lab review
  • Track refill requests, lab follow-ups, forms, messages, and daily tasks
  • Problem-solve day-to-day issues before escalating when appropriate
  • Help the provider stay on schedule and reduce avoidable interruptions
  • Keep exam rooms, supplies, and the office organized
  • Communicate with patients in a way that is kind, clear, and professional
  • Help improve office systems, templates, checklists, and workflows as the practice grows We are looking for someone who is:

  • Comfortable writing clear patient messages, letters, notes, and form drafts
  • Able to gather the right information before asking the provider to review or sign paperwork
  • Comfortable using computers, EHR systems, scheduling systems, patient messaging, digital forms, email, and insurance portals
  • Able to follow checklists and complete tasks without being reminded repeatedly
  • Able to take initiative and think one step ahead
  • A natural problem-solver who does not panic when something is unclear
  • Comfortable working in a small practice where teamwork matters
  • Interested in wellness, hormones, weight loss, thyroid health, and preventive care
  • Capable of growing into more responsibility over time Preferred experience:

  • Front desk and clinical support Certification as a CMA, RMA, or CCMA is preferred, but we are open to the right person with strong experience, great communication, insurance knowledge, writing ability, problem-solving skills, and excellent follow-through. This may not be the right fit if you:
  • Prefer only doing rooming and vitals
  • Do not like phones or patient communication
  • Have no interest in insurance-related office workflows
  • Are uncomfortable with forms, letters, prior authorizations, referrals, or patient paperwork
  • Get frustrated when patients ask questions
  • Have trouble saying no politely
  • Need constant reminders to complete tasks
  • Get easily overwhelmed by a busy office flow
  • Are uncomfortable with technology
  • Struggle with follow-through or attention to detail
  • Do not like checklists or structure
Schedule:
Monday-Friday Approximately 32-40 hours per week Hours may vary slightly based on patient care days and administrative needs No weekends No on-call No overtime without approval
Pay:
$20
  • 25 per hour depending on experience, reliability, clinical skills, insurance knowledge, forms experience, communication skills, and leadership potential.
