We believe that every interaction matters from the first greeting to post-treatment follow-up. The Patient Coordinator plays a key role in ensuring a warm, organized, and high-end experience for every patient. Position Overview The Patient Coordinator is the first and last point of contact for our patients. This role is responsible for creating a welcoming environment, maintaining efficient front-desk operations, and supporting both the clinical and administrative teams. We are looking for a proactive, organized, and positive professional with strong customer service skills and the ability to manage multiple tasks in a fast-paced environment. Key Responsibilities Patient Experience Greet and assist patients in a warm, professional, and courteous manner. Ensure a high-quality, luxury-level patient experience at all times. Assist patients with check-in, forms, and consents. Handle patient concerns with empathy and a solution-oriented mindset. Maintain a clean, organized, and professional front desk area. Scheduling & Systems Manage appointment scheduling using clinic software. Confirm, reschedule, and follow up on appointments. Coordinate patient flow with providers and clinical staff. Schedule follow-up appointments as recommended. Administrative Support Process payments, POS transactions, and daily close-outs. Accurately enter and update patient information. Organize and manage documentation and consents. Support daily administrative tasks as needed. Experience & Revenue Support Reinforce clinical recommendations when appropriate. Promote packages, memberships, and additional services. Assist with patient retention through proper follow-up scheduling. Collaborate with the sales and clinical teams. Qualifications Previous experience in customer service, front desk, or patient coordination. Experience in a med spa, medical clinic, aesthetics, or wellness environment is preferred. Strong computer skills and experience with scheduling software. Excellent verbal and written communication skills. Fluent in English and Spanish (required). Ability to multitask and remain calm under pressure. Skills & Competencies Positive and professional attitude. Strong organizational and time-management skills. Attention to detail.
