Pura Vida Medspa Fleming Island, FL Join Northeast Florida's Premier Medical Spa Team Pura Vida Body & Mind Spa is an award-winning luxury medical spa dedicated to helping our clients look and feel their best through exceptional service, advanced technology, and personalized care. We are seeking a highly motivated, energetic, and sales-oriented Patient Care Coordinator to join our growing team. Position Summary The Patient Care Coordinator serves as the first point of contact for prospective and existing patients. This role is responsible for managing inbound and outbound communication, converting leads into consultations, supporting patient retention, coordinating schedules, and ensuring every patient receives exceptional customer service throughout their journey with Pura Vida. The ideal candidate is confident on the phone, highly organized, detail-oriented, professional, and passionate about aesthetics, wellness, and helping people achieve their goals. ResponsibilitiesPatient Communication & Scheduling Answer incoming phone calls, texts, emails, and web inquiries promptly and professionally Schedule consultations, treatments, and follow-up appointments Respond to online leads and patient inquiries in a timely manner Maintain accurate patient records within our EMR system Confirm appointments and assist with schedule optimization Sales & Lead Conversion Build rapport with prospective patients and educate them on available services Convert inquiries into booked consultations and treatments Follow up consistently with leads, consultations, and inactive patients Discuss memberships, treatment plans, packages, financing options, and promotions Help patients understand the value of comprehensive treatment plans Patient Experience Deliver a luxury-level experience at every touchpoint Assist patients through their treatment journey and follow-up process Resolve concerns professionally and proactively Ensure patients feel welcomed, informed, and cared for Administrative Duties Maintain organization of schedules and patient records Assist with daily operational tasks as needed Collaborate with providers and leadership to ensure seamless patient care Support marketing initiatives, events, and patient retention programs Qualifications Minimum 2 years of customer service, sales, hospitality, medical office, or spa experience preferred Strong communication and relationship-building skills Comfortable discussing treatment options and pricing Proven ability to meet goals and performance expectations Excellent phone etiquette Strong organizational and multitasking abilities Positive attitude and team-oriented mindset Experience with EMR systems, CRM software, or medical scheduling platforms preferred Medical spa, aesthetic, cosmetic surgery, or wellness industry experience is a plus What We're Looking For The ideal candidate: Loves helping people and creating memorable experiences Is motivated by goals and performance metrics Is comfortable making outbound follow-up calls Takes initiative and ownership of responsibilities Thrives in a high-energy, fast-paced environment Has a growth mindset and willingness to learn Compensation & Benefits Competitive hourly pay based on experience Bonus and commission opportunities Employee discounts on services and products Professional development and training Career advancement opportunities Positive and supportive team culture Why Pura Vida?
