In this vital role, you will serve as the primary liaison between patients, surgical teams, and administrative staff to ensure seamless surgical scheduling, pre-operative preparations, and post-operative follow-up. Your proactive approach will help optimize patient experiences, streamline clinic operations, and uphold the highest standards of medical documentation and compliance. Responsibilities Coordinate surgical schedules by managing appointments, confirming procedures, and ensuring all necessary documentation is complete and accurate. Verify insurance coverage, perform insurance authorization, and handle pre-authorization processes using systems. Review medical records and documentation for accuracy, completeness, and compliance with HIPAA regulations. Assist patients with intake procedures, answer questions regarding surgery preparation, and provide detailed instructions for pre- and post-operative care plans. Collaborate with physicians, nurses, anesthesia teams, and administrative staff to facilitate smooth surgical workflows. Maintain detailed records of procedures using EMR (Electronic Medical Records) systems like Nextech; ensure all CPT (Current Procedural Terminology) and ICD (International Classification of Diseases) coding are correctly applied. Manage communication with patients via multi-line phone systems while demonstrating professional phone etiquette; update patient information accurately in office management software. Support medical billing processes by reviewing documentation for proper coding related to
ICD-10/ICD-9
codes and ensuring timely submission for Medicare or other insurance claims. Uphold strict confidentiality standards in accordance with HIPAA guidelines while handling sensitive medical information. Qualifications Proven experience in a medical office setting with familiarity in surgical coordination or clinic administration. Strong knowledge of EMR systems including Nextech, or similar platforms. Proficiency in medical coding (CPT, ICD-10/ICD-9), billing procedures, insurance verification, and documentation review. Excellent organizational skills with the ability to manage multiple schedules simultaneously while maintaining attention to detail. Exceptional communication skills—bilingual abilities are a plus—and outstanding phone etiquette. Familiarity with medical terminology relevant to surgery and patient care plans; experience with dental terminology is advantageous if applicable. Adept at using computer software such as Microsoft Office suite (Word, Excel), filing systems, and health information management tools like Dentrix or Eaglesoft. Knowledge of HIPAA regulations to ensure patient privacy and data security at all times. Ability to work efficiently in a fast-paced environment while demonstrating professionalism and compassion toward patients and team members.
