Core Integrative Wellness is a fast-growing integrative and functional medicine clinic dedicated to helping patients uncover and address the root causes of their health concerns. Position Summary The Front Desk Manager is responsible for ensuring the daily operations of the clinic run smoothly from open to close. This individual serves as the first and last impression for every patient, coordinates communication between patients and practitioners, supports administrative operations, assists with wellness plan sales, and helps create an exceptional patient experience. This position requires strong organizational skills, attention to detail, excellent communication abilities, and a willingness to jump in wherever needed to support the team. Key Responsibilities Patient Experience & Front Desk Operations Open and close the clinic according to established procedures Welcome and check patients in and out for appointments Answer incoming phone calls, texts, and emails professionally and promptly Ensure patients receive exceptional customer service throughout their visit Maintain a clean, organized, and professional front office environment Communicate patient arrivals, schedule changes, and delays to practitioners and staff Scheduling & Patient Communication Confirm upcoming appointments Reschedule appointments as needed Manage provider schedules efficiently Coordinate patient follow-up communication Assist patients with questions regarding appointments, services, and clinic processes Administrative Support Scan, file, and maintain patient records Perform data entry and administrative tasks accurately Maintain spreadsheets and tracking documents for clinic reporting and operational metrics Assist with inventory tracking and office organization Complete administrative projects assigned by the COO and Clinic Coordinator Patient Care Coordination Create and send patient recaps based on practitioner recommendations Place supplement, protocol, and patient orders accurately and promptly Ensure patient recommendations and follow-up instructions are communicated clearly Assist patients in understanding their care plans and next steps Sales & Membership Support Educate patients on wellness plans, memberships, and clinic offerings Assist patients with enrollment into comprehensive wellness programs Comfortably discuss wellness plans and make recommendations based on practitioner guidance Support clinic growth through ethical and relationship-based sales conversations Follow up with prospective patients when appropriate Team Collaboration Work closely with practitioners, nurses, the Clinic Coordinator, and leadership team Provide support wherever needed to ensure clinic operations run efficiently Participate in team meetings and training opportunities Assist with social media and marketing initiatives when requested QualificationsRequired Minimum 1 year of front desk experience in a busy medical, wellness, chiropractic, functional medicine, or healthcare clinic Exceptional customer service and communication skills Strong organizational and multitasking abilities Proficiency with computers, spreadsheets, email, and scheduling software Comfortable with technology and able to learn new software quickly Ability to work independently and take initiative Ability to maintain composure and professionalism during busy clinic hours Positive attitude and solution-oriented mindset Coachable and eager to learn Reliable, punctual, and professional Preferred Experience in functional medicine, chiropractic, naturopathic, integrative, wellness, concierge medicine, or other holistic healthcare settings strongly preferred Sales experience preferred Experience with patient sales, memberships, or wellness plans Social media and marketing experience Familiarity with EMR systems and patient management software Ideal Candidate You are someone who: Loves helping people and making them feel cared for Thrives in a fast-paced environment Can juggle multiple tasks without missing details Takes ownership and follows through Takes ownership and treats the clinic's success as their own Is a team player who willingly jumps in where needed Has a passion for health, wellness, and holistic living Communicates confidently and professionally Enjoys building relationships with patients Is comfortable discussing wellness recommendations and helping patients understand their care plans Is looking for a long-term opportunity with room for professional growth Is excited about the possibility of growing into a larger role as the clinic expands Compensation & Benefits Compensation based on experience.
