This position is vital for maintaining the smooth and efficient functioning of our clinic. What does the Psychological Testing Coordinator do? (including but not limited to) The Testing Coordinator plays a critical role in keeping psychological testing services running smoothly and efficiently. This position oversees scheduling logistics, insurance pre-authorizations, documentation tracking, billing coordination, testing material security, and inventory management. You'll work closely with clinicians, administrative staff, and leadership to ensure timely, accurate, and compliant operations across the testing department. Responsibilities Essential duties and responsibilities (including but not limited to) Scheduling & Client Coordination Coordinate and manage psychological testing schedules across clinicians Handle appointment confirmations, reminders, rescheduling, cancellations, and waitlists Ensure intake paperwork and testing forms are completed and routed appropriately Monitor client flow and support smooth testing operations Documentation & EHR Management Collaborate with clinicians to ensure testing materials and documentation are prepared before appointments Track outstanding records and follow up on missing documentation Maintain organized, audit-ready records in the EHR system Insurance & Billing Support Complete insurance preauthorizations for psychological testing services Submit and monitor claims, denials, and payment activity Reconcile billed vs. paid services and escalate discrepancies when needed Communicate proactively with the Testing Director and CFO regarding billing trends or concerns Compliance & Testing Standards Maintain secure handling and chain-of-custody procedures for testing materials Ensure compliance with HIPAA, APA, payer, and publisher guidelines Assist with maintaining current report templates and testing protocols Inventory & Office Operations Monitor and maintain testing supplies, forms, protocols, and office inventory Track testing platform subscriptions and licensing (Pearson Q-global/Q-interactive) Coordinate ordering and vendor comparisons while maintaining budget awareness Team Communication Serve as a liaison between clinicians, administrative staff, and billing Provide weekly updates to the PD/Medical Director regarding KPIs, workflow issues, and operational wins Qualifications Required Scheduling & Client Coordination Coordinate and manage psychological testing schedules across clinicians Handle appointment confirmations, reminders, rescheduling, cancellations, and waitlists Ensure intake paperwork and testing forms are completed and routed appropriately Monitor client flow and support smooth testing operations Documentation & EHR Management Collaborate with clinicians to ensure testing materials and documentation are prepared before appointments Track outstanding records and follow up on missing documentation Maintain organized, audit-ready records in the EHR system Insurance & Billing Support Complete insurance preauthorizations for psychological testing services Submit and monitor claims, denials, and payment activity Reconcile billed vs. paid services and escalate discrepancies when needed Communicate proactively with the Testing Director and CFO regarding billing trends or concerns Compliance & Testing Standards Maintain secure handling and chain-of-custody procedures for testing materials Ensure compliance with HIPAA, APA, payer, and publisher guidelines Assist with maintaining current report templates and testing protocols Inventory & Office Operations Monitor and maintain testing supplies, forms, protocols, and office inventory Track testing platform subscriptions and licensing (Pearson Q-global/Q-interactive) Coordinate ordering and vendor comparisons while maintaining budget awareness Team Communication Serve as a liaison between clinicians, administrative staff, and billing Provide weekly updates to the PD/Medical Director regarding KPIs, workflow issues, and operational wins

Physical Demands:
This job requires employees to have a full range of physical capabilities, including the ability to handle and lift patients, demonstrate manual and finger dexterity, and maintain good eye-hand coordination. Employees must be able to stand and walk for extended periods and occasionally lift and carry items up to 40 lbs. Corrected vision and hearing within the normal range are also required.
