Job Description

Patient Coordinator / Personal Assistant — Vero Beach Office We are seeking a personable, warm, and highly organized Patient Coordinator / Personal Assistant to support our CEO and team in a growing, cutting-edge holistic health and myofunctional therapy practice. This position is ideal for someone who is naturally detail-oriented, organized, dependable, and able to follow through on tasks without constant reminders. Our practice works closely with children and families, so the right person must be friendly, professional, nurturing, and able to help parents feel comfortable and supported from the very first phone call. This is an in-office position based in Vero Beach, Florida for 2 days per week , with the opportunity for growth and potential full-time hours as the practice expands.
Key Responsibilities:
Answer phones in a warm, professional manner Schedule patient appointments accurately and efficiently Make follow-up calls, send emails, and communicate clearly with patients and parents Track patient paperwork, payments, scheduling needs, and follow-up items Enter notes in patient charts and document patient interactions thoroughly Keep patient information, tasks, and office details organized Assist with day-to-day office flow and CEO support Help create engaging social media posts to promote the practice Support a calm, welcoming, and professional environment for children and families We are looking for someone who: Is extremely organized and detail-oriented Can manage multiple tasks without things falling through the cracks Follows directions carefully and completes tasks from start to finish Communicates clearly, professionally, and kindly Is comfortable speaking with parents and families Has strong written communication skills Can prioritize tasks and stay focused in a busy office environment Is proactive and willing to learn Has basic computer skills and basic social media proficiency Takes pride in being dependable, accurate, and professional Prior experience in a front desk, medical reception, dental office, or patient coordination role is a plus, but not required. The most important qualities are organization, attention to detail, professionalism, warmth, and the ability to communicate well with families. Because many of our patients are children, the right candidate should be able to create a comforting, respectful, and welcoming atmosphere while maintaining appropriate professional boundaries.
Position Details:
