Winter Haven, FL Job Details Temporary | Part-time $17 - $19 an hour 2 days ago Qualifications Microsoft Excel Administrative experience High school diploma or GED Community outreach Data entry Organizational skills Front desk Full Job Description Primary Objective The part-time, temp-to-hire, Administrative & Community Health Coordinator provides administrative and front office support while assisting with program and community health initiatives. This role helps ensure efficient daily operations and supports outreach and engagement efforts in alignment with organizational goals. Essential Functions A. Front Office & Administrative Support Greet and assist clients, visitors, and staff in a professional and welcoming manner. Answer and manage incoming calls, direct inquiries, and relay messages to appropriate personnel. Assist with answering phones when needed. Greeting visitors and providing front desk support as needed. Provide general information, including office location, contact details, and services. Receive, sort, and distribute incoming mail and deliveries. Maintain confidentiality when handling sensitive documents and information. Perform general clerical duties, including data entry, filing, scanning, faxing, copying, and document management. Maintain organized physical and electronic filing systems. Maintaining organized folders and reporting files. Assist with ordering, stocking, and distributing office supplies. Helping maintain general office organization and supplies. Ensure daily office cleanliness and coordinate basic office upkeep. Provide administrative support to the Office Manager as needed. Support onboarding and training coordination for interns (e.g., CareerSource participants). Providing general administrative and operational support as needed. B. Program & Operational Support Assist with internal workflows, including program forms, documentation, and supply tracking. Assist with data collection, tracking, and reporting. Cross-check data for missing or incomplete information. Coordinate with staff to support day-to-day operations and program needs. Assist with organizing and updating community resource lists. Provide general administrative support across departments as needed. The role would primarily focus on administrative support and assisting with organization/reporting tasks to help support overall program operations. C. Prevention Program Support Assist with HIV prevention programming, including preparation, coordination, and follow-up activities. Support prevention staff with outreach initiatives, education efforts, and engagement activities. Assist with documentation, tracking, and reporting for prevention programs. Tracking outreach inventory (condoms, hygiene kits, educational materials, etc.). D. HIV Testing & Counseling Support Support HIV testing operations, including setup, patient flow, and documentation. Provide HIV testing and counseling services upon completion of required training and certification. Assist with testing events, clinics, and community-based testing activities. E. Community Outreach & Engagement Assist with community outreach events and offsite programming. Support event logistics, including setup, breakdown, and attendance tracking. Engage with community members in alignment with organizational standards and program goals. F. Additional Responsibilities Perform general office errands and support daily operational needs. Assist with laundry services and provide support to patrons as needed. Complete other duties as assigned to support organizational operations. Knowledge, Skills, and Abilities Willingness to travel locally and complete tasks outside of the office as needed. Reliable transportation, including a registered vehicle, valid driver's license, and active auto insurance. Demonstrated ability to work effectively with diverse populations, with cultural sensitivity. Comfortable engaging with community members, including underserved or unhoused populations. Strong listening, assessment, and problem-solving skills. Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint). Strong organizational skills, including the ability to create and maintain accurate filing systems. Ability to prioritize tasks, multitask, and manage time effectively in a fast-paced environment. Demonstrated ability to work both independently and collaboratively as part of a team. Adaptability to changing environments and shifting priorities. Strong interpersonal skills with the ability to maintain professionalism and appropriate boundaries. Excellent customer service skills and professional phone etiquette. High level of accuracy with strong attention to detail. Demonstrated critical thinking and decision-making skills. Ability to provide two character references (one personal, one professional) and one employment reference. Positive attitude and strong work ethic. Education High School Diploma/GED required. Experience and Other Experience working in a community-based medical and/or non-profit setting. 1-3 years' experience in related field Admin/front desk background Willing to be trained on prevention/testing support

The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms to assist patients and/or clinic staff. Occasionally assists with moving wheel-chair bound patients, clinical equipment, and office supplies up to 35 pounds.

Pay:
$17.00 - $19.00 per hour Application Question(s): Are you comfortable accepting a part-time, temp-to-hire position?
