In this vital role, you will serve as the primary liaison between patients, physicians, surgical teams, and administrative staff to ensure seamless coordination of surgical procedures. Your expertise in medical documentation, insurance verification, and EHR (Electronic Health Record) systems will be essential in delivering exceptional patient care and operational efficiency. This position offers an exciting opportunity to contribute to a patient-centered environment while utilizing your comprehensive medical administrative skills. The Surgery Coordinator schedules all surgical procedures and assures that all appropriate clinical and insurance coding information is collected for the surgery schedule. Coordinator receives requests to schedule procedures from physician offices and schedules the procedure according to established guidelines. Coordinator provides accurate information so that all departments may view daily and maintains open communication with surgery center locations and physician offices regarding schedule changes.
Qualifications/Skills:
High school graduate or GED required Minimum two years surgery scheduling experience Experience in a fast-paced clinic environment with ability to multi-task Working knowledge of eye anatomy Bilingual (English/Spanish) a plus, but not required Professional Demeanor and appearance Strong patient care oriented with a friendly and positive attitude Excellent verbal and written communication skills Must be detailed oriented Must be dependable and a team player
Responsibilities/Duties:
Coordinates and maintains necessary patient forms and documents. Reviews surgery paperwork for accuracy including patient informed consent. Processes and routes all paperwork as required to meet physician and facility requirements. Coordinates and effectively communicates the scheduling of surgeries between physician, patient and facility availability. Organize work for efficiency and problem solve as related to surgery scheduling and its impact on physicians and clinic. Reschedule and cancel surgery and post-op appointments in a way which minimizes any inconveniences to the patient, including notification to the correct surgery center. Follow up with patient on all cancelled surgeries. Maintain effective and accurate daily physician surgery schedules and communicate changes as necessary. Schedule post-op appointments. Ensures patients have proper medical clearance and pre-surgical testing as needed. Schedule appointments for lens measurements as needed; order appropriate lens. Calls patients to remind them of appointment time and location. Arrange for transportation as needed to surgery and post-op appointments. Coordinate with surgery center staff to ensure all necessary equipment and medical supplies will be on site for procedures. Maintain a positive working relationship with surgery facilities. Perform other duties as assigned Ability to understand basic medical terminology and interpret basic doctor's orders. Acquire general knowledge of pre-operative testing and ability to explain A-Scans and IOL Calculations. Acquire basic knowledge of surgical procedures. Have knowledge of or ability to learn the EMR System. Effective and professional written and verbal communication skills. The ability to work independently, recognize errors, and make necessary corrections. Maintain calm and positive attitude and maintain a professional demeanor in stressful situations. Have the ability to respond to changing workload and work environment in a fast paced environment and prioritize work assignments. Must maintain patient confidentiality in accordance with clinic policy and HIPAA guidelines. Work Environment:
Work is performed in a medical clinic environment where the noise level can be moderate to loud and involves a high level of contact with patients.
Essential Physical Functions:
Sitting/Standing for extended periods of time Push, pull and reach; occasionally bend, stoop, and stretch. Hand-eye coordination and manual dexterity are needed to operate a keyboard and other office equipment. Normal range of hearing and eyesight to record, prepare and communicate appropriate reports Occasionally lift up to 20 pounds This is a very sedentary position Must meet all pre-employment requirements, including a background check and drug screening.
