Job Description

Advanced Manual Therapies is seeking a polished, dependable, and health-minded Office Coordinator to serve as the first impression and daily face of our practice. This is a patient-facing role in a functional health, movement, and wellness-focused practice. The right person will be warm, organized, professional, and confident managing the front-office experience without constant oversight. We are looking for someone who values health, movement, fitness, self-care, and proactive wellness. You do not need to be a clinician, but you should be genuinely interested in helping patients feel welcomed, supported, and confident in their care experience. This role is ideal for someone with experience as a medical receptionist, office coordinator, office manager, patient care coordinator, wellness studio administrator, boutique fitness front-desk lead, concierge service representative, or hospitality professional. Our patients expect a calm, professional, high-touch experience from the moment they contact us. The person in this role will help set that tone. You will be the first person many patients speak with, the person they see when they arrive, and the person who helps keep the day running smoothly. It is part of the patient experience and the practice brand Are comfortable working in a small practice where everyone helps where needed Take pride in presenting yourself and the practice in a professional, health-forward way Key Responsibilities Welcome patients and create a warm, calm, professional first impression Manage scheduling, rescheduling, appointment reminders, and patient flow Answer phone calls, emails, and messages with professionalism and discretion Coordinate patient intake paperwork, forms, payments, and follow-up communication Maintain an organized front office and support a clean, efficient practice environment Protect patient confidentiality and follow HIPAA-aware communication practices Help solve scheduling, communication, and patient-service issues without unnecessary escalation Support provider calendars and protect the flow of the clinical day Assist with office supplies, documentation, administrative systems, and daily operations Help represent the practice's values around health, wellness, professionalism, and patient care Preferred Qualifications Experience as a medical receptionist, office coordinator, office manager, patient care coordinator, or front-desk lead Experience in a healthcare, physical therapy, chiropractic, wellness, med spa, functional medicine, concierge medicine, boutique fitness, Pilates, yoga, nutrition, or hospitality setting Strong scheduling and calendar-management skills Comfortable using scheduling software, EMR systems, Google Workspace, email, spreadsheets, online forms, and payment systems Familiarity with HIPAA, patient privacy, or healthcare confidentiality standards Experience handling patient or client communication by phone, email, and text Recruiting, HR, onboarding, or team coordination experience is a plus Prior roles held for 5+ years are a plus and valued as a sign of stability and commitment Personal or professional interest in health, fitness, wellness, nutrition, movement, longevity, or holistic care Required Skills Professional written and verbal communication Strong organization and follow-through Reliable attendance and punctuality Calm problem-solving under pressure Ability to prioritize without constant direction Comfort interacting with patients in a high-touch service environment Discretion with sensitive patient information Positive, mature, team-oriented attitude Willingness to learn systems and improve office workflows Schedule Part-time or full-time schedule may be considered for the right candidate. Pay:
$18.00 - $22.00 per hour
