Position Overview We are looking for a highly motivated, initiative-driven Patient Care Coordinator with a strong understanding of medical spa treatments . This role requires confidence in discussing common aesthetic procedures, treatment areas, and clearly explaining the differences between services to patients. This is a patient-facing, sales-influenced role that requires excellent communication skills, comfort with technology, and the ability to manage multiple priorities seamlessly. Key Responsibilities Greet patients warmly and professionally, ensuring an exceptional first impression Check patients in and out accurately using our practice management systems Schedule, reschedule, and manage appointments efficiently Ensure all required patient documentation is completed prior to appointments Answer phone calls, texts, emails, and online inquiries promptly and professionally Manage website and social media inquiries related to booking and services Confidently explain treatments, treatment areas, products, and current promotions Demonstrate working knowledge of injectables, skincare treatments, and aesthetic services Collaborate closely with providers and team members to optimize patient flow Collect and process payments accurately and maintain proper records Address patient concerns with empathy, professionalism, and solution-oriented thinking Maintain a clean, organized, and welcoming environment Assist with inventory management and ordering office supplies Perform additional duties as assigned in support of clinic operations Requirements High school diploma or equivalent Previous experience as a Patient Care Coordinator or Front Desk role in a medical spa is strongly preferred Strong understanding of common med spa treatments is required Comfort discussing injectables, skincare treatments, and aesthetic services with patients Excellent interpersonal, communication, and customer service skills Strong organizational and multitasking abilities Ability to learn quickly and adapt in a fast-paced environment Comfortable using multiple software systems (experience with Boulevard and GoHighLevel is a plus) Sales or marketing experience is a plus Ability to work flexible hours as needed
