Both roles will be cross-trained and will serve as backup support to each other.

Position Overview:
PLAYmatters Therapy is hiring two full-time Client Care & Clinic Operations Coordinators to support the daily flow of our pediatric therapy clinic. These are central, family-facing roles that help keep the clinic organized, responsive, and running smoothly. Both coordinators will be cross-trained across client communication, scheduling, therapist support, documentation tracking, and daily clinic operations. We anticipate one role having a stronger focus on Client Care , including family communication, new client inquiries, intake, scheduling, and front desk support. The other role will have a stronger focus on Clinical Operations , including therapist support, report tracking, documentation flow, timesheets, EMR updates, and student/volunteer coordination. Both team members will work closely together and serve as secondary support for the other's area, so flexibility, communication, and teamwork are essential. Client Care Focus Respond to new client inquiries by phone and email Guide families through the intake and scheduling process Communicate with families in a warm, professional, and timely manner Manage client scheduling and appointment changes Welcome families and provide front desk support Help ensure families have a smooth and responsive experience with the clinic Support administrative follow-up as needed Clinical Operations Focus Support therapist schedules and daily clinic flow Track appointments and timesheets to support billing and payroll processes Maintain client records in the clinic's healthcare EMR system Format, track, and coordinate therapist reports, deadlines, and delivery Help organize documentation and follow-up tasks Coordinate student, therapy aide, and volunteer interest, onboarding, and scheduling Collaborate with clinic leadership on workflow improvements and operational needs Shared Responsibilities Communicate clearly with families, therapists, and clinic leadership Use Google Workspace, scheduling tools, and EMR systems accurately Maintain confidentiality and professionalism with client information Help keep the front office organized, calm, and responsive Problem-solve in a busy environment with children and families present Provide backup support to the other coordinator as needed What We're Looking For We are looking for dependable, highly organized, detail-oriented, proactive, and compassionate team members who enjoy helping families and supporting a clinical team.
Strong candidates will have:
Excellent communication and organization skills Strong attention to detail and follow-through A warm, confident, and professional presence with children and families Ability to manage multiple priorities in a busy clinic setting Comfort with phone and email communication Experience using Google Workspace, including Gmail, Calendar, Docs, and Sheets Ability to learn scheduling, EMR, and documentation systems Good judgment with confidential information A collaborative, flexible approach to supporting coworkers Preferred Experience Experience in one or more of the following settings is helpful: Pediatric therapy clinic Medical or healthcare office School office or educational setting Child development, therapy, psychology, or special education environment Scheduling, intake coordination, client services, or administrative support Current or former COTAs are encouraged to apply. Education Associate degree or bachelor's degree preferred.
