Job Description

We are seeking a polished, high-performing Patient Care Coordinator to serve as the face of our luxury oculofacial plastic surgery practice — guiding patients from first inquiry to surgical outcome with warmth, expertise, and impeccable attention to detail. This role blends five-star concierge hospitality, consultative sales, clinical support, and surgical coordination.
RESPONSIBILITIES
Patient Experience & Concierge Service ◆ Deliver a personalized luxury concierge experience from first call through follow-up ◆ Participate in our signature hospitality and beverage service for arriving patients ◆ Check in patients with warmth and seamless, unhurried attention to detail High-Ticket Sales & Lead Conversion ◆ Convert inquiries to consultations through consultative, relationship-based selling ◆ Conduct patient consultations; educate on procedures, recovery, pricing, and expectations ◆ Execute 6-7 touch lead follow-up cadence with meticulous tracking and conversion reporting ◆ Build relationships that drive case acceptance, pipeline growth, and referrals Clinical and Medical Assistant ◆ Serve as in-room surgical team member with the surgeon during in-office procedures ◆ Perform patient intake and thorough Nextech EMR chart documentation ◆ Set up for procedures; manage supply and disposable inventory ◆ Prepare charts; verify documentation, labs, and clearances prior to surgery ◆ Oversee sterile processing — sterilize instruments, maintain autoclave function, and ensure full compliance with sterilization protocols and logs Surgical and Calendar Coordination ◆ Schedule OR cases, in-office procedures, pre-op and post-op appointments ◆ Coordinate surgical assistants, facilities, and full case readiness logistics ◆ Conduct schedule audits confirming deposits, clearances, and patient readiness ◆ Manage surgeon calendar; distribute weekly surgery summaries and patient reminders ◆ Handle high-volume inbound/outbound communication with professionalism and poise
QUALIFICATIONS
Required ◆ 2+ years in a medical, surgical, or patient-facing healthcare role ◆ Proven high-ticket consultative sales success — comfortable guiding significant financial decisions ◆ Proficiency with Nextech EMR or ability to master a new system quickly ◆ Exceptional communication skills and polished professional presence ◆ Experience with lead tracking, CRM, and structured follow-up systems ◆ Meticulous organizational skills and unwavering attention to detail ◆ Commitment to HIPAA compliance and strict patient confidentiality Strongly Preferred ◆ Background in plastic surgery, oculofacial, aesthetic medicine, or dermatology ◆ Experience in luxury retail, high-end hospitality, or premium concierge services where selling a premium experience was core to the role ◆ Demonstrated track record closing high-value cases in a consultative environment ◆ Medical assistant or surgical coordinator experience with in-room clinical duties
