Front Office Position Overview Southern OB/GYN is seeking a professional, highly organized and service-driven Patient Services Supervisor to lead the daily operations of our front office team in a fast-paced OB/GYN practice. This leadership role is responsible for ensuring an exceptional patient experience while maintaining efficient front office workflows, staff accountability, scheduling coordination and operational excellence across multiple reception functions. The Patient Services Supervisor leads and supports front office personnel while maintaining compliance with practice policies, HIPAA regulations and quality standards. Key Responsibilities Leadership & Staff Management Supervise and support front office staff including check in/check out receptionists, appointment schedulers, and telephone operators Assist with hiring, onboarding, training, coaching, and performance evaluations of front office employees Coordinate staff schedules and ensure adequate coverage for vacations, absences, and peak patient volume Promote a positive, team-oriented workplace culture focused on professionalism and patient satisfaction Front Office Operations Monitor staff productivity, workflow, and patient satisfaction to maintain operational efficiency Ensure accurate patient registration, insurance verification, demographic updates, and appointment scheduling Collaborate with providers, nursing staff, billing department, and administration to support clinical operations Address patient concerns and resolve front office issues professionally and promptly Maintain scheduling templates for providers and coordinate adjustments as needed Maintain confidentiality of patient and employee information at all times Administration & Operational Support Monitor productivity metrics and front office performance indicators Conduct regular front office meetings and communication updates, workflow changes, and performance expectations Ensure compliance with HIPAA, OSHA, and organizational policies Support ongoing process improvement initiatives throughout the practice Qualifications Education Bachelor's degree in healthcare administration, business, or related field required Experience Minimum 3-5 years of medical office experience required Previous supervisory or leadership experience in a healthcare setting preferred OB/GYN or women's healthcare experience strongly preferred Skills & Competencies Strong leadership and team development skills Exceptional customer service and communication abilities Ability to multitask and manage competing priorities in a fast-paced environment Experience with EMR/EHR systems and medical scheduling platforms Strong organizational, analytical, and problem-solving skills Proficiency in Microsoft Office and general office software
