Work Shift Day Scheduled Weekly Hours 40 Summary This position supports Mercy's philosophy of patient centered care by performing coordination activities related to patient scheduling and performing tasks and support functions under the supervision of a licensed nurse. Job Description Job Duties/Essential Functions Job Duties Receives and handles telephone communications accurately and timely Coordinates scheduling patients Completes data entry from procedural records in an accurate and timely fashion Implements changes and assists with revisions on patient orders and requests Organizes and prioritizes daily work effectively. Receives and directs visitors within the department as indicated Navigates the electronic medical record efficiently, orders procedures and locates documentation as necessary Promotes a positive and professional image, collaborates with healthcare team including physicians, nurses and discharge planners Follows Mercy's safety guidelines, carries out job-specific safety duties and responsibilities, and promptly reports any unsafe conditions, situations, incidents and injuries. Department Specific Duties Mercy Cardiology Clinic Greets and directs Plumb Hearth Center patients and visitors. Obtains insurance cards, drivers licenses, and signatures for office records that support the patient encounter Coordinates scheduling patients for cardiovascular care and services at the Plumb Heart Center and outreach clinic locations Transcribes orders for cardiovascular testing from outside referring providers Resolves scheduling conflicts as identified Demonstrates a general understanding of the different insurance carriers (including Title 19, Medicare, and VA) and their eligibility requirements Handles routine billing questions as they arise and forwards more complex questions to the Mercy Billing Office as appropriate Responds to medical record requests in a timely manner Functions as a resource to patients and visitors for the use of EMR integrated software platforms that promote and support the care and service of patients Documents telephone encounters in the electronic medical record to communicate information to physicians and staff Maintains providers and diagnostic schedules utilizing scheduling software Schedules all Plumb Heart Center scheduling requests including follow-ups, infusions, scans, labs and/or imaging Coordinates patient appointments with all internal and external orders Provide patient education as needed for scheduled tests and procedures, inclusive of dietary restrictions Completes all Cardiology Front Desk/Scheduling staff messages sent to the Front Desk/Scheduling pool Runs scheduling recall reports, sends communication to patient and schedules recalls accordingly Sends via fax or email, all necessary documentation to other providers or clinics Updates patient insurance information, and completes patients estimates as needed Cross covers front office and phone scheduling positions as deemed necessary Implements changes and assists with revisions to patient scheduling and requests Reviews and updates providers and diagnostic testing schedules daily Responds to real/potential problems based on urgency related to provider/testing schedules Refers conflicts and procedural questions to the Supervisor or Manager Knowledge, Skills and Abilities Role models exemplary customer service skills both verbally and non-verbally in person and on the phone. Creates welcoming environment for all healthcare team members Remains focused in stressful situations and performs multiple tasks quickly Handles multiple priorities in a distracting environment Ability to work in close proximity to others Manages anger/fear/hostility Professional Experience Two years of health care and/or secretarial experience preferred Strong computer skills required Education High School Diploma or equivalent preferred Medical Assisting Diploma, Associate of Applied Science Degree preferred Medical Terminology strongly preferred Licensure, Certification, Registration American Heart Association Basic Life Support (BLS) required as specified per department guidelines listed above.
