About Dermatology, P.C.: Dermatology, P.C. specializes in general dermatology, surgical dermatology, dermatopathology and cosmetic services. We study, diagnose, and treat the disorders of the skin, hair, and nails. Dermatology, P.C. is seeking a Patient Service Specialist Supervisor to join our team! Dermatology, P.C. is a fast-paced private practice, seeking an energetic team player who enjoys a challenge. We are seeking a dedicated and dynamic Patient Service Specialist Supervisor to lead our patient services team within a busy clinic environment to ensure patient satisfaction. The ideal candidate will have experience in a medical office, supervising staff and handling administrative functions. Dermatology, P.C. has approximately 15 PSSs who are responsible for checking in, checking out and for managing a multi-line telephone system. Employees are assigned in all suites in our West Des Moines location as well as in our satellite clinics, Ankeny and Indianola. This leadership role requires a strong understanding of clinic operations, administrative support and proficiency with electronic health records (EHR) system. The supervisor will perform all essential functions of a PSS while working closely with the Executive Director to meet the needs of the providers' evolving schedule. This supervisor will provide continuous constructive feedback with employees, reinforcing positivity and coaching to deliver the best customer service while maintaining a positive work culture. ESSENTIAL DUTIES AND RESPONISBILITIES
1. Perform all essential functions of a patient services specialist. 2. Supervise and coordinate overall administrative activities. 3. Assist Executive Director with providers' schedule. 4. Monitor employee's timecard entries. 5. Review and monitor provider master calendars/schedules, daily changes to schedules 6. Ensure that customer service to patients, both internally and externally, are treated professionally and courteously by office staff and that other visitors are screened and properly directed. 7. Develop and maintain guidelines for prioritizing work activities, evaluating effectiveness and modifying activities as necessary. 8. Handle day-to-day personnel issues, provide on-going constructive feedback with employees, reinforcing positivity and coaching improper behaviors. 9. Maintain open, regular and timely communication. 10. Participate as needed in special department projects. 11. Demonstrates ability to consistently meet the practice work schedule: Monday
  • Thursday 7:45a
  • 5:00p and Friday 7:45a
  • 2:00p.
Will travel to our satellite clinics in Ankeny and/or Indianola. 12. Maintain a confidential and professional manner in all aspects of the job. 13. Ensure that front office is staffed appropriately to ensure support of practice operations; fill in for absent staff when necessary. 14. Attend and conduct scheduled clinic staff meetings and ensure employees who are absence are updated accordingly. 15. Keep work area clean, neat and have a professional appearance. Collaborate with co-workers in keeping break and patient waiting areas tidy and clean. 16. Demonstrate excellence in communication, decision making, and problem solving by acting as a role model and resource, positively influencing job satisfaction, in-office relationships and patient care. 17. Determine staffing needs and interview and hire new staff when needed. 18. Ensure employees are properly trained. 19. Perform 90-day introductory period reviews and annual evaluations. 20. Provide support, encouragement and management expertise to staff for their optimal performance. 21. Develop, update, and enforce clinic policies, procedures, guidelines and protocol. 22. Consistently an available, knowledgeable and effective resource. 23. Keep employees' records, progress notes, time off, attendance, etc. Monitor employees payroll entries. 24. Work with the Executive Director to improve office efficiencies and operations. 25. Work closely with other departments to ensure office procedures are met. 26. Attend and complete all mandatory training requirements. 27. Maintain open and consistent communication with the Executive Director on pertinent information pertaining to and affecting the practice operations and matters that impact areas covered by this department, i.e. personnel issues, staffing issues, etc. 28.
