About Us This premier medical spa and hair restoration clinic located in the heart of the West Loop. We specialize in cutting-edge aesthetic treatments, injectables, hair restoration, and wellness services for men and women. Our mission is to provide elevated, personalized care in a welcoming and results-driven environment. Position Overview We are seeking a warm, polished, highly organized & detail-oriented patient coordinator to be the first point of contact for our patients. This role blends hospitality, administrative expertise, and patient education to ensure each client has an exceptional experience from check-in to post-treatment follow-up. This position will be administrative only and will not transition into a provider role. Key Responsibilities Greet patients in person, by phone, and via email with professionalism and warmth Manage the patient journey: schedule appointments, confirm consultations, and coordinate follow-ups Educate patients on services, packages, and promotions Handle check-ins, check-outs, and payment processing Meticulous data entry of patient transactions Support provider schedules, daily flow, and treatment room readiness Help track inventory and retail sales Participate in med spa events and networking Contribute to internal marketing and social media efforts Uphold HIPAA compliance and patient confidentiality at all times Qualifications Prior experience in a medical spa, aesthetic clinic, or luxury hospitality setting is strongly preferred Excellent communication skills and a naturally polished, friendly demeanor Strong attention to detail and comfort with scheduling software and point-of-sale systems Interest or background in aesthetics, skincare, or wellness Able to multitask in a client-facing environment Social media savvy is a plus Schedule & Compensation Part-time or full-time depending on availability and fit Competitive hourly rate + performance-based bonuses Employee treatment discounts and growth opportunities How to Apply Please submit your resume and a brief note sharing why you're a great fit for this role and what excites you about aesthetics or patient care.
