We are hiring a Patient Care Coordinator. This is a front office position, but it is not just a basic receptionist job. This role includes patient communication, scheduling, front office coordination, follow-up, and helping present the financial side of treatment after the doctor has completed the exam and explained the recommended care. The doctor is responsible for diagnosis and clinical treatment recommendations. This role helps patients understand fees, payment options, scheduling, and next steps. What This Role Does Answering phones and helping new patients understand the next step Scheduling new patient exams and follow-up visits Greeting patients and maintaining a calm, professional front office experience Collecting and entering accurate patient information Tracking referral sources and how patients found the practice Helping keep patient communication organized and timely Presenting treatment fees, payment options, and scheduling details after the doctor has explained the recommended treatment Helping patients move from "I need to think about it" to a clear next step Following up with patients who have not yet scheduled or accepted treatment Communicating clearly with the clinical team and practice manager Supporting front office systems so patients do not fall through the cracks Who Will Do Well in This Role Communicate clearly and calmly on the phone Are comfortable discussing fees, payment options, and next steps with patients Can be warm without being overly casual Can be firm and organized without being pushy Follow through without needing constant reminders Notice details and document them accurately Can handle a busy front office without becoming scattered Understand that patient experience matters Are willing to learn a specialty area of healthcare Can represent a professional healthcare practice well Who Will Not Do Well in This Role Want a low-pressure receptionist job Avoid phone calls or difficult patient conversations Are uncomfortable discussing money Struggle to keep notes, tasks, and follow-ups organized Need every day to be predictable Prefer to wait for instructions instead of owning your responsibilities Are careless with patient information Become defensive when coached Are looking for a role with little accountability Experience Dental, medical, orthodontic, front office, treatment coordination, financial coordination, customer service, or administrative experience is preferred. However, we are more interested in the right person than the exact background. Strong communication, judgment, organization, and follow-through are more important than simply having years of front desk experience. Experience discussing fees, payment options, scheduling, patient financing, or treatment plans is a plus. Compensation Starting compensation will depend on experience, communication ability, front office skill, and ability to handle patient financial discussions. Higher starting pay may be considered for a candidate with proven dental, medical, or treatment coordination experience who can confidently handle patient communication, financial presentation, follow-up, and scheduling accepted care. Schedule and Work Structure This is a full-time, in-person position in our Wichita office. This role works closely with the doctor, practice manager, clinical team, and front office team.
