School of Medicine, General Pediatrics is seeking a
- _Patient Service Coordinator/CMA_
- (PSC/CMA) to offer friendly, courteous, and confidential assistance to patients ensuring that the patient and their family have positive experiences while seeking care at all Johns Hopkins Pediatric Specialty Network clinics.
The PSC/MA will maintain accurate information on each patient both geographical and clinical to facilitate the patient encounter. This role reports to the Network Supervisors and Ambulatory Service Manager who are responsible for administrative/clinical supervision, staff development, orientation to the areas of policy and procedures.
- Specific Duties & Responsibilities
- _Patient Service Coordinator (PSC)_ + Verify and correct any missing or incorrect registration information including but not limited to address change, primary phone number update, insurance change, guarantor information, primary contact information, primary care provider.
+ Collect time of service payments, issue receipts, and electronically close out cash drawer in electronic system at end of day. + Assist with basic insurance and third-party queries. + Guide patients to the appropriate resources for billing concerns, or financial assistance with bills. + Call to obtain missing labs, imaging reports, growth charts, and other needed information for day of appointment, stressing importance of receiving timely due to patient being in office with provider. + Scan all lab results, imaging report, in clinic testing results and EKG's into the patient chart as appropriate. + Print lab/imaging orders and direct patient to local resources for testing upon request + Relay information to patients regarding preparation for laboratory tests and examinations. + Print After Visit summaries and referrals for other services upon request. + Assist patients or family members in the completion of forms to include, but not limited to Medical Information Releases, provider information on FMLA and School Medication Administration forms. + If a patient is being sent directly to hospital print patient demographics to send with patient and or transport as needed. + Based on provider preference phone patients to check availability to adjust appointment time, earlier/later to close gaps in provider schedule if acceptable to patient. + Coordinate visits either within the department or between several departments, based on provider instructions, to ensure proper and complete care. + Schedule patients for medical consultations across all Johns Hopkins Pediatrics to include, but not limited other network sites, and downtown based on the patient geographical location preference, using computerized systems. + Telephone patients to obtain accurate pre-registration information and confirm appointment when requested. + Manage incoming and outgoing fax documents and scan to patient chart as appropriate + Prepare and print daily schedules and labels by department as needed. + Maintain inventory of all office supplies, registration forms, Hopkins privacy forms, etc. monthly. + Work with IT help desks, general and EPIC, for issues regarding computers and software. + Work with building management, if applicable, regarding issues with space and environment. + Report to Supervisor and Manager deficiencies reported during routine Infectious Disease and Environment of Care Rounds. Correct and close out simple deficiencies, work with building management/maintenance to correct deficiencies perceived to be their responsibility. At the discretion of the manager, work with local contractors to obtain bids for deficiency corrections not covered by other means. + Clean/Sanitize waiting room furniture at end of day + Complete/Perform Any and all other duties as assigned. _Certified Medical Assistant (CMA)_ + Verify name and patient date of birth DOB + Preform hand hygiene when entering and exiting a room and/or contact with patient. + Obtain vitals as required based on department + Record and/or Reconcile within the electronic patient visit, oChief Complaint - reason for visit oVital Signs + Repeat any vitals that result as abnormal using manual method if applicable, oAccompanied by oCommunication/Interpreter information if using phone or VRI interpretation oReconcile/Verify/Enter Allergies Contraindications oReconcile/Verify/Enter Medications oVerify/Enter Pharmacy oSelect All and File Completed Patient/Family Medical Questionnaire if completed oEnter all patient and family history if above does not apply oComplete Chaperone section + Perform the following specialty tests as required, oEKG/ECG oA1C oBlood Glucose oPulmonary Function Test + Follow HEIC and EOC protocols to maintain compliance within the clinic environment to ensure patient safety. + Keep patients appraised as to the providers status if running behind and apologize for the wait ensuring the patient that they will get the amount of time they need to have all their questions and concerns addressed. + Act as chaperone either at patient or provider request for sensitive exams. + Maintain and use principles of aseptic techniques and infection control when performing clinical duties and tasks. + Perform medication injections and training as directed and under the supervision of a provider + Recognize emergency events and implement emergency procedures according to clinical guidelines. Call 911 + Maintain monthly inventory of all clinical supplies to ensure 3-4 month supply and request items to be ordered when prompted to unless an urgent need arises + Check and record AED status daily + Perform QC checks on A1C and Glucose machine weekly. + Notify patients of possible survey and encourage completion, using scripted message. + Track and dispose of any expired supplies. + Clean and sanitize exam rooms as needed and at end of day. + Complete/Perform any and all other duties as assigned

- Minimum Qualifications
- + High school diploma or graduation equivalent and certification/registration as a Medical Assistant (e.
g.
CMA, AAMA, RMA, AMT, NAHP
) required. + Completion of an accredited Medical Assistant training program, such as courses provided through Medix, community colleges, and/or vocational schools. + If not currently certified/registered, must become certified/ registered within 180 days (6 months) of date of hire. Exam fees will be paid by the department. If a retest is required, associated fees are paid by the employee. + Current CPR certification by the American Heart Association or the American Red Cross required. + Must maintain MA and CPR certification/registration during duration of employment in this position. + One year of work experience in customer service. + Additional education may substitute for required experience and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
