We're looking for an energetic, compassionate, and highly organized Patient Experience & Front Office Manager to lead our front desk operations and help create an exceptional experience for every patient who walks through our doors. This is more than a receptionist role. You will be the welcoming face of our practice, the leader of our front-office team, and a key part of helping patients improve their health and quality of life. You'll help new patients feel comfortable and cared for, ensure existing patients stay on track with their treatment plans, and help our team deliver an exceptional patient experience from the first phone call to every visit that follows. As you grow in this role, you'll have opportunities to develop your leadership skills by managing and mentoring front office staff and our call-in coordinator. What You'll Do to Create Exceptional Patient Experiences Welcome patients and visitors with warmth, professionalism, and enthusiasm Ensure every patient receives outstanding service and attention Assist new patients through the onboarding process Manage patient treatment plans and provider schedules Handle patient concerns and special requests with care and professionalism Lead & Support the Front Office Team Train, coach, and support front office staff and call center team members Foster a positive, service-focused team culture Help improve office systems, efficiency, and patient satisfaction Track key office performance metrics and help drive continuous improvement Keep Operations Running Smoothly Manage front desk activities, incoming calls, scheduling, and patient communications Ensure the front office is organized, stocked, and operating efficiently Monitor inventory and order office supplies as needed Coordinate mail distribution and office administration Troubleshoot day-to-day challenges and resolve issues quickly Maintain office records, budgets, expenses, and company statistics Ensure compliance with office policies and security procedures Patient Retention & Wellness Coaching Contact patients who miss appointments or fall behind on care plans Encourage and coach patients to stay committed to their wellness goals Help patients understand the value of consistent care and follow-through What We're Looking ForRequired Qualifications Outstanding customer service and relationship-building skills Excellent verbal and written communication abilities Strong organizational and multitasking skills Ability to stay calm, positive, and solution-focused under pressure Strong attention to detail and follow-through Professional phone presence and communication skills High level of personal integrity, accountability, and self-motivation Genuine passion for helping others Preferred Qualifications Experience in customer service, healthcare, hospitality, or office management Knowledge of chiropractic care is helpful but not required Experience supervising or training team members Familiarity with Microsoft Office, including Excel and Word Basic bookkeeping and administrative experience You'll Love This Role If You...
