Job Description

The Patient Services Coordinator oversees day-to-day office operations and provides administrative, operational, and patient services support for the Dental Hygiene program. This position is responsible for coordinating departmental records, reports, schedules, and other administrative processes to support efficient and accurate clinical operations. Coordinator serves as a key liaison for students, faculty, staff, patients, vendors, and other internal and external constituents, while also supervising work-study students. This role supports communication, scheduling, recordkeeping, and general office functions to ensure smooth and professional operations in the clinical setting. Hire, supervise, and train work-study students for the DH program, and manage work schedules for students hired to provide front desk support. Overseeing management of student clinic schedules in clinical software platform, Dentrix, as well as the patient engagement software, Intiveo, an automated platform used to message patients including appointment reminders. Develop, organize, and maintain clinic-related files, records, databases, and other record-keeping systems, including both manual and computerized systems. Compile information from clinical records and files for reports and in response to requests from supervisors or others. Serve as an administrative liaison with students, faculty, staff, parents, alumni, vendors, and/or other key departmental constituencies by explaining clinical policies and procedures, answering questions, coordinating services, handling special requests or problems, and referring clinic matters to a supervisor as appropriate. Confer regularly with the immediate supervisor, department and University personnel, and/or outside individuals or organizations to plan and coordinate activities, exchange information, and resolve problems. Provide general office and administrative support, including assisting the Patient Services Representative as needed with answering phones, performing reception duties, and preparing clinical-related correspondence and reports. Perform other related duties as assigned. Qualifications Associate degree in business preferred, and/or two to four years of relevant administrative experience, or an equivalent combination of education and experience from which comparable knowledge and skills are acquired. Broad knowledge of general clerical, administrative, and office management practices. Excellent administrative and organizational skills, including experience organizing and maintaining moderately complex filing and records systems. Experience with computerized information systems. Strong reading, writing, and math skills. Ability to work effectively with a wide variety of individuals inside and outside the University. Ability to function independently, with supervision, and as part of a team environment as necessary.
