Company Description Orthopedic Specialists of Oakland County (OSOC) is an orthopedic practice with twelve providers across three clinical locations and four associated physical therapy offices. Position Summary Orthopedic Specialists of Oakland County (OSOC) is seeking a Clinic Office Manager that will have direct responsibility for managing office-level leads across Bloomfield, Clarkston and Lake Orion, coordinating cross-functional teams including front desk, medical assistants, schedules, and providers. This role exists to take direct, daily ownership of office workflows, staffing schedules, and site-level issue resolution. The Clinic Office Manager will be the first point of contact for office leads and staff on day-to-day issues, and will partner closely with the Practice Administrator on standardizing how the three offices run effectively. Key Responsibilities Daily Operations & Scheduling Serve as the day-to-day point person for office leads at Bloomfield, Clarkston, and Lake Orion Own staff scheduling across sites, including identifying and resolving coverage gaps (e.g., front desk, MA, X-ray tech) before they become urgent Monitor daily patient flow and staffing readiness; troubleshoot in real time when something isn't working Track and help fill open shifts; coordinate float coverage between sites as needed Workflow Oversight & Consistency Help standardize day-to-day workflows (check-in, scheduling practices, supply ordering, etc.) across all three offices so each site runs the same way Spot inconsistencies between sites and work with office leads to close the gap Support rollout of new processes, tools, or policy changes at the site level Staff Support & Communication Hold regular check-ins with each office lead to understand workload, morale, and open issues Act as a resource and sounding board for office leads handling staff or patient issues Support onboarding logistics for new front office and clinical support staff in partnership with the Practice Administrator Reporting Deliver a weekly operations summary to the Practice Administrator covering staffing, scheduling, and any flagged issues Maintain simple, current documentation: staffing rosters, coverage plans, and an open-issues log Track basic operational metrics (see Success Metrics below) and flag trends early Vendor & Facilities Coordination Serve as the first point of contact for office-level vendor issues, supply ordering /inventory, and facilities needs Loop in IT/EHR support when technology issues affect day-to-day operations Help ensure all three offices stay clean, stocked, and compliant Qualifications Required 2+ years of experience in a healthcare office management, lead, or coordinator role Comfortable managing scheduling and staffing logistics across more than one team or location Strong organizational skills and a calm, solutions-oriented approach under pressure Clear, direct communicator who builds trust easily with frontline staff Comfortable with EHR/practice management software (training provided on ModMed) Reliable transportation for regular travel between Bloomfield, Clarkston, and Lake Orion Preferred Experience in orthopedic, sports medicine, or another specialty practice setting Prior experience specifically across multiple clinic sites Familiarity with HIPAA and basic clinical compliance expectations
