Job Description

About Us:
Havens of Minnesota provides intensive outpatient treatment services for individuals working toward recovery from substance use. Our programs rely on consistency, accountability, and accurate documentation to support both client care and operations.
Position Overview:
This role is responsible for front desk operations, including phones, scheduling, and clinical support. While not a supervisory position, it plays an important role in helping ensure that attendance and documentation are complete and accurate. This location also includes responsibility for maintaining the cleanliness of common areas and ensuring the facility remains clean, organized, and welcoming for clients and staff.
Key Responsibilities:
Answer and manage incoming calls in a clear and professional manner Schedule clients accurately and consistently across programs Escalate unresolved or recurring issues to leadership Maintain accurate, organized, and up-to-date records Label and manage UA (urinalysis) materials according to process Support general front desk and administrative functions as needed Perform routine facility cleaning duties, including cleaning restrooms, vacuuming floors, emptying trash, and maintaining clean and orderly common areas throughout the day
What We're Looking For:
Strong attention to detail with the ability to notice inconsistencies Clear, professional communicator who does not avoid necessary conversations Able to work independently and follow through on tasks to completion Organized and reliable in a fast-paced environment Professional, calm, and boundaried when interacting with clients Easy to work with and team-oriented Preferred (but not required): Previous administrative or front desk experience Experience in healthcare or behavioral health settings
Work Environment:
This role involves regular interaction with individuals in various stages of recovery. Maintaining professionalism, consistency, and appropriate boundaries at all times is essential.
Schedule:
Monday-Friday, full-time. Schedule will generally fall within 8:00 AM-4:00
PM Pay:
$18.00 - $22.00 per hour
