Job Description

GENERAL DESCRIPTION
Manage the day-to-day operations of a community outpatient clinic, including administrative, clinical, and staffing responsibilities. The staff that will be supervised includes, receptionists, medical records, diabetes nurse, and all clinical staff (RNs, LPNs, MAs). Joint supervision will be done for Medical Assistants with the Medical Director. The Clinic Manager will strive to deliver a high level of customer service and quality of care.
DUTIES, ROLES AND RESPONSIBILITIES
Manage the day-to-day operations of the clinic, including scheduling and oversight of clinic staff to ensure optimal productivity Oversee the planning, preparation, and distribution of patient charts and medical records Oversee the hiring and training of new staff members, perform evaluations, and ensure competence Proactively identify and mitigate any issues that arise Provide regular reports and feedback to Executive Director and senior management Oversee the upkeep and maintenance of the clinic Ensure accurate and timely payroll approvals and compliance with state, federal, and local regulations Manage workflow systems, scheduling, and appointment scheduling through EMR, including patient check-in and registration, and insurance verification Ensure high quality patient care through utilization of evidence-based policies and procedures Look for new ways to organize staff and implement systems to maximize productivity in the workplace and meet objectives Manage a staff of employees which includes hiring, firing, evaluations, orientations, competencies, and trainings Facilitate and maintain record of staff training and certifications Maintain positive relationships with physicians and staff; communicates regularly with Medical providers and the Medical Director Develop and maintain reporting systems to measure and improve performance Manages/supervises vaccine program, and all other contracts and grants associated to the Clinic (Diabetes, Bio-medical, Biohazard disposal services, etc.) Facilitates the Integrated Behavioral Health model with the behavioral health team Manage clinic supplies and inventory Responsible for quality data and reporting and monitoring clinical quality measures Participates in Quality and safety programs of the facility; board meetings as requested; facility surveys Coordinates access to software programs necessary for functions of clinic such as imMTrax, Accuvax, RPMS. Assists with patient communication letters and facilitates their delivery Develop and maintain policies and procedures Assists with employee health related issues when needed Promote and support HIA through other activities in fundraising, professional representation, public appearances Attend monthly staff meetings and education and training opportunities Additional duties as assigned by Executive Director or Medical Director
KNOWLEDGE, SKILLS, ABILIITES, AND USE OF EQUIPMENT
Strong leadership background with a proven record of leading groups of people to meet objectives, to provide exceptional care, and lead a business. Strong decision-making skills with an ability to balance multiple responsibilities and prioritize what needs to be done. Strong knowledge of healthcare management, including human resources, insurance, and revenue cycles Knowledge of general clinical practices and preferably in a non-profit, or urban Indian type facility. Ability to mediate problems involving patient/families, clinic personnel and public. Ability to establish working relationships with staff, patients/families and public. Experience working with Indian Health Services is desired Strong communication and inter-personal skills Proficient skill in computer programs, software, electronic medical records systems, and applications Ability to develop and deliver educational material to clinical staff Strong clinical skills in order to evaluate and monitor staff Knowledge of clinical quality measures, data collection and interpretation, and improvement strategies
QUALIFICATIONS, EDUCATION, TRAINING, AND EXPERIENCE
(REQUIRED
OR DESIRED
) Bachelor's degree in healthcare administration, business administration, public administration or related field; or Nursing. If a Nursing degree, then depending on experience, an Associate's Degree may be accepted. The license must be unencumbered from the State of Montana A minimum of two years of experience in managing a clinic, health-care team, or clinical department; or a combined four years of experience working and managing in the clinical setting. Current certification in BLS. May complete within 3 months of employment Valid Montana Driver's License with a driving record that will allow coverage on the center's insurance policy.
PHYSICAL DEMANDS
Work is performed in a medical and behavioral health office and clinic setting; sitting, with intermittent standing and walks; reaches for and uses writing instruments and keyboard; reads reports and other written materials; extensive use of telephone and oral communication with the public and coworkers; stoops, bends, kneels, reaches for, picks up, and pushes or pulls; ability to lift up to 25 pounds.
WORKING ENVIRONMENT
All employees of Helena Indian Alliance may have contact with patients, families, visitors that may be physically debilitated, have mental or psychological conditions, or may be under the influence of a substance. Employees work areas include the entire facility and its property. Employees will have interaction with the entire staff throughout the facility. The position will interact with vendors, contractors, and other stakeholders within the community and state-wide.

All employees of Helena Indian Alliance have a risk of exposure to communicable diseases, blood borne pathogens, and toxic substances and chemicals. All employees have a risk of physical injury due to lifting, transferring or moving objects or assisting patients. Employees with driving privileges are at risk of a motor vehicle accident.
