We're Hiring:
Dental Front Office Receptionist / Patient Care Coordinator ✨ Growth Track Opportunity | Brand-New Dental Practice in South Charlotte Toothology Dental is looking for an experienced, polished, and highly organized Dental Front Office Receptionist / Patient Care Coordinator to join our brand-new private practice in South Charlotte. This is not a basic front desk position. We are looking for someone with real dental front office experience who wants to grow with the practice, take ownership, and eventually develop into a larger leadership role as the office expands. The right person will be one of the first voices patients hear, one of the first faces they see, and one of the key people helping shape the patient experience, office systems, communication flow, and front office culture from the beginning. We are a one-doctor, modern dental office focused on comprehensive dentistry, implants, cosmetics, digital technology, and an elevated patient experience. We want someone who is warm with patients, confident with systems, comfortable discussing treatment and finances, and excited to help build something the right way. As the practice grows, this role can grow too. More opportunities will come over time, and we want someone who sees the value in being part of the foundation early. The Big Picture This position is ideal for someone who already understands the dental front office and is ready for more responsibility. We want someone who can help create a smooth, organized, patient-centered experience from the first phone call to checkout. Someone who can manage details, communicate clearly, protect the schedule, understand insurance, follow up with patients, and help the practice continue moving forward. You do not need to be perfect at everything on day one, but you do need to be experienced, coachable, dependable, and willing to grow. What You'll Own Greeting patients with warmth, professionalism, and confidence Answering phones and helping patients feel taken care of from the first call Scheduling new patients, hygiene visits, treatment visits, and follow-ups Confirming appointments by phone, text, and email Managing check-in and check-out efficiently Verifying dental insurance benefits and updating insurance information Helping prepare copays and patient estimates Submitting, tracking, and following up on insurance claims Assisting with billing questions, payments, and financial conversations Presenting treatment plans when needed Helping patients understand their next steps, insurance benefits, and payment options Supporting hygiene recall and patient reactivation Communicating with the clinical team to keep the day running smoothly Protecting the schedule and helping reduce last-minute openings Identifying ways to improve systems as the practice grows What We're Looking For Minimum 1-2 years of dental front office experience required Dental experience is non-negotiable for this role Strong understanding of dental insurance, claims, and patient billing Comfortable discussing treatment costs and payment options Experience with treatment presentation is strongly preferred Excellent communication skills in person and over the phone Warm, friendly, polished, and professional demeanor Strong computer skills and ability to learn new systems quickly Organized, detail-oriented, and able to multitask without losing focus Positive attitude and team-first mindset Dependable, punctual, and accountable Able to work independently without constant supervision Comfortable in a growing office where systems will continue to develop Willing to take ownership and grow into more responsibility over time Software & Technology We will be using: Dentrix Ascend practice management software Digital patient forms and communication systems Digital X-rays CBCT imaging Experience with Dentrix Ascend is a plus. Bonus Points If You Have Experience With Dental insurance coordination Claims follow-up Treatment presentation Case acceptance Scheduling for production goals Hygiene recall and reactivation Patient financing Social media or patient communication platforms Spanish bilingual communication Spanish bilingual is not required, but it would be a major plus.
