- dependent on your availability for just afternoons or full days Monday-Thursday Bedford, NH In Person Job Summary We are seeking an energetic, people-focused Patient Experience Coordinator to join our growing family wellness practice in Bedford, NH.
This is much more than a front desk position. You will be the first smile patients see when they walk through our doors and a key part of creating an exceptional experience for the families we serve. We care for everyone from newborns to grandparents, and we're looking for someone who genuinely enjoys connecting with people, building relationships, and helping others feel welcome and cared for. In this role, you will help manage the daily flow of the office, support patients throughout their care journey, and contribute to a positive, upbeat environment where patients feel valued and appreciated. Your professionalism, attention to detail, and ability to connect with people will help create an outstanding patient experience from check-in to checkout. Duties Greet patients of all ages upon arrival, check them in, and ensure intake paperwork and updated information are completed accurately Engage warmly with children and families, helping patients feel comfortable and welcome throughout their visit Build genuine relationships with patients and families while helping create a positive atmosphere that keeps patients excited to return Answer multi-line phones, respond to voicemails, and reply to patient emails in a professional and timely manner Schedule, confirm, and reschedule appointments to maintain an efficient daily calendar and minimize scheduling gaps Collect payments and post charges accurately at the time of service Maintain accurate patient records and treatment notes within the electronic health record system while following HIPAA guidelines Prepare and organize daily schedules, patient files, and necessary forms before each shift Coordinate with providers and staff to keep patient flow running smoothly throughout the day Follow up on missed appointments, recall lists, and patient communication needs Proactively communicate with patients regarding appointments and ongoing care recommendations Help create memorable patient experiences that reflect our practice values and culture Set up treatment rooms between visits and assist patients with light mobility support as needed Maintain a clean, welcoming reception area and assist with light office cleaning duties Requirements A positive attitude, strong work ethic, and genuine enjoyment of working with people are required Prior healthcare, chiropractic, physical therapy, customer service, hospitality, fitness, childcare, or administrative experience is helpful but not required for the right person Comfortable working with children and families of all ages Strong computer skills and the ability to learn scheduling and electronic health record software quickly Excellent organizational skills and the ability to manage multiple responsibilities while maintaining attention to detail Strong written and verbal communication skills Professional appearance and a warm, welcoming demeanor Dependable, punctual, and committed to maintaining confidentiality Able to sit or stand for extended periods and perform light lifting as needed Naturally warm, coachable, reliable, and able to bring positive energy to a fast-paced environment Enjoys connecting with people, remembers names and details, and takes pride in helping others feel valued Why Join Us?
